Full Job Description

Join a stable, community-focused organization seeking a versatile Office Assistant who can comfortably balance detailed back-office work with front desk and customer service responsibilities.

This is a great opportunity for someone who enjoys data entry, spreadsheets, billing support, and keeping information organized, but is also confident answering phones, assisting visitors, and handling a busy office environment. The organization has a primary front desk employee, but this person will provide regular backup and should be comfortable interacting with a wide variety of callers and visitors.

Office Assistant Responsibilities

Enter and maintain customer, billing, payment, and account information in a specialized database
Assist with recurring billing processes, payment posting, collections, late notices, and account updates
Track information and prepare reports using Excel and other internal systems
Review records and update account information as changes occur
Respond to billing questions by phone, email, and in person
Provide backup front desk coverage, including answering phones, greeting visitors, opening mail, and assisting with general office needs
Prepare correspondence, reports, meeting materials, agendas, and supporting documents
Organize electronic and paper records to ensure information is accurate and easy to retrieve
Assist with meeting preparation, room setup, technology, and occasional meeting minutes
Attend approximately one evening meeting per month
Support multiple departments with administrative projects as needed

Office Assistant Qualifications

Previous administrative, front desk, customer service, billing, or data entry experience
Comfortable working with spreadsheets, numerical information, and high-volume data entry
Working knowledge of Microsoft Excel and basic office technology
Professional and confident communication skills, both over the phone and in person
Strong attention to detail and ability to maintain accurate records
Able to shift between focused administrative work and customer-facing responsibilities
Self-assured, adaptable, and comfortable handling unexpected questions or situations
Billing, collections, cashiering, or payment-processing experience is a plus
Experience within a public-sector, community-based, or similarly regulated environment is helpful but not required

Schedule

Monday through Friday, generally 8:00 a.m. to 4:30 p.m., plus approximately one evening meeting per month.

This direct-hire opportunity offers a starting rate up to $24/hr. and a strong benefits package that includes:
