Job Overview

We are seeking a dynamic and detail-oriented Assistant Construction Project Manager to join our team! This energetic role is perfect for someone who thrives in a fast-paced environment, loves coordinating multiple tasks, and is passionate about supporting project success from start to finish. As an integral part of our project management team, you will assist in planning, organizing, and executing projects while ensuring smooth communication among team members and clients. Your proactive approach and organizational skills will help drive projects forward efficiently and effectively, contributing to our overall mission of delivering outstanding results.

Responsibilities

Support the Project Manager in developing project timelines, budgets, and resource allocations using productivity software and spreadsheets
Coordinate meetings, prepare agendas, take detailed notes, and distribute follow-up action items to ensure project milestones are met
Manage client communication by providing timely updates, answering inquiries via phone and email, and maintaining excellent customer service standards
Assist with document management including filing, proofreading, data entry, and maintaining accurate records of project activities
Review Construction Plans and Perform Material Takeoffs
Communicate with Vendors for Material Ordering and Scheduling
Perform and assist in Construction Site walks
Utilize office management tools such as Microsoft Office Suite, Microsoft Teams, and QuickBooks for administrative tasks including invoicing, bookkeeping, and reporting
Oversee front desk duties such as multi-line phone system management, greeting visitors, and handling general office inquiries with professional phone etiquette
Support calendar management for project timelines and appointments to ensure efficient time management across teams

Requirements

Proven experience in office management or administrative support roles with clerical experience including data entry and filing
Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and productivity software
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Exceptional communication skills both via phone communication and written correspondence; bilingual abilities are a plus
Familiarity with QuickBooks or bookkeeping software is preferred; experience with multi-line phone systems is advantageous
Previous experience supporting project teams or assisting with client communication is highly desirable
5+ Years in construction
Familiarity with Bluebeam construction software
Familiarity with Buildertrend Project Management Software
Demonstrated professionalism in customer service settings such as front desk or medical/dental receptionist roles
Ability to handle multiple responsibilities simultaneously while maintaining attention to detail and accuracy
