Full Job Description

Administrative Assistant – Community Association Management

Tropical Isles is seeking a dependable, organized, and professional Administrative Assistant to join our community association management team. This position will work closely with our Community Association Managers (CAMs) and provide administrative, customer service, vendor coordination, and day-to-day support for condominium and homeowners associations throughout Southwest Florida.

This is an excellent opportunity for someone who enjoys working with people, solving problems, staying organized, and learning about the community association management industry.

Job Type: Full-Time
Location: On-Site – Southwest Florida
Pay: $21.87–$23.43 per hour, depending on experience

Core Responsibilities

Provide daily administrative support to the Community Association Manager, including answering phones and emails, preparing correspondence and notices, maintaining accurate association and property records, organizing files, and assisting with board meeting preparation and follow-up.
Serve as a professional first point of contact for owners, residents, board members, vendors, and contractors, responding to routine questions and requests while promptly escalating issues requiring the CAM’s attention.
Coordinate maintenance requests, inspections, repairs, and vendor services; schedule contractors, obtain estimates and proposals, track outstanding work, and follow up to ensure work is completed properly and timely.
Assist with property inspections and maintain records related to maintenance, inspections, permits, certificates, violations, vendor compliance, and other property-related matters.
Assist with association financial and accounting administration, including reviewing invoices, tracking board approvals, organizing budget documentation, and responding to general questions regarding assessments, dues, budgets, and association expenses.
Maintain accurate and confidential owner, resident, board, vendor, and association records using office and association management software.
Assist with owner and board communications regarding association policies, procedures, maintenance, and property matters.
Manage multiple priorities, meet deadlines, follow through on outstanding items, and keep the CAM informed of important issues and developments.
Work professionally and calmly with homeowners, board members, vendors, contractors, and coworkers, including handling difficult or frustrated individuals.
Learn and develop knowledge of community association management, association operations, budgeting, maintenance, vendor coordination, and compliance requirements while recognizing that licensed CAM, legal, accounting, and other professional decisions remain with the appropriate individual.

You do not need to know everything about community association management when you start. We are looking for someone who is willing to learn the industry, take initiative, ask questions, and grow with the company.

Experience with condominium associations, HOAs, property management, construction, maintenance coordination, accounting, or customer service is a plus.

Interest in obtaining a Florida Community Association Manager (CAM) license in the future is a plus, but a CAM license is not required for this administrative position.

Work Environment

Full-time, primarily office-based position.
Occasional visits to properties may be required for inspections, vendor coordination, maintenance oversight, or owner/board interactions.
The position works closely with the CAM and management team.
Occasional evening or weekend support may be needed for specific association activities; however, evening and weekend association meetings and after-hours responsibilities will generally be handled by the CAM.
Professional office environment with regular interaction with owners, board members, vendors, contractors, and management personnel.
