Full Job Description

Job Summary

We are seeking a dedicated and detail-oriented Estate Planning Legal Assistant/Paralegal to join our dynamic legal team. In this vital role, the Estate Planning legal assistant/paralegal, under the supervision and direction of the estate planning group attorneys, performs substantive tasks that assist our attorneys in preparing estate planning documents and other documents, communicates with clients, schedules appointments, dockets the progress of matters, maintains client electronic file, performs data entry, attends and participates in document signings, and performs other tasks as necessary for the estate group.

Duties & Responsibilities:

· Document Creation and Management: Performs processes associated with drafting, proofing, revising, finalizing, appropriately naming, scanning, printing documents, document packets, and binders and preparing for delivery to client/recipient. Document types include, but are not limited to: wills, trusts, advance directives, powers of attorney, pre-nuptial agreements, deeds, letters, and memos. Fulfills other document requests including arrangement for delivery/pick-up of original estate planning documents, drafting, reviewing, and revising forms and templates related to the estate group, preparing copies of client documents as necessary.

· Client Interaction: Receives requests from clients. Schedules appointments; answers questions without giving legal advice; attends estate document signings, providing witness services and/or notary services. Follows-up with clients regarding commencing or completing their estate planning.

· Data Entry/Dockets: Enters time in our legal software program. Creates matter dockets, enters relevant information, updates dockets throughout the duration of each matter, reviews matter progress, and closes dockets upon completion. Reviews docket reminders and occasionally creates and distributes docket reports to estate group attorneys.

Competencies:

· Experience/Knowledge: Possesses knowledge and experience in the area of estate planning law. Familiarity with the purpose and meaning of various estate planning phrases, clauses, and documents.

· Skills/Abilities: Strong word processing competency and computer skills, particularly the use of Microsoft products. Ability and willingness to learn and use other computer programs/applications and to follow firm protocol and procedures. Ability to perform basic on-line research. Obtain and maintain a Notary commission. Ability to use standard office equipment such as computers, phones, copiers, and scanners.

· Communication: Interacts professionally with clients, attorneys, staff, outside professionals, and vendors. Listens attentively and speaks clearly. Ability to read and interpret written information. Ability to write informatively, proof-read, and edit for spelling and grammar.

· Interpersonal Skills: Ability to build positive relationships with clients and colleagues, demonstrates professionalism and courtesy.

· Organizational Skills: Strong ability to manage multiple tasks, maintain files and keep schedules organized. Ability to work independently on projects as well as work collaboratively within a team

· Technology: Proficiency with Microsoft Office, Windows, and web-based applications. Ability to learn and effectively use accounting, payroll, and legal practice management software.

· Confidentiality: Ability to maintain the confidentiality of firm, and client information while exercising sound judgement and adhering to firm policies and procedures.

Pay: $22.00 - $24.00 per hour
