Full Job Description

Position Summary

Live Art International is seeking a dependable, organized, and hands-on Production Assistant to help bring extraordinary events to life. As a premier art engagement and entertainment production firm, we create interactive experiences, custom activations, live entertainment, and immersive events for corporate clients, festivals, and destination management companies nationwide.

This position plays a vital role behind the scenes by preparing event materials, managing inventory, coordinating deliveries and equipment rentals, and assisting with the production of promotional materials. The ideal candidate enjoys working with their hands, thrives in a fast-paced environment, and takes pride in organization and attention to detail.

Primary ResponsibilitiesEvent Preparation & Packing

Prepare, assemble, and pack activation materials and event equipment for upcoming events.
Create detailed packing lists and verify all materials prior to departure.
Ensure equipment is clean, tested, and event-ready.
Assist with loading and unloading company vehicles.
Organize post-event returns, cleaning, and restocking of materials.

Inventory Management

Maintain accurate inventory of event equipment, supplies, décor, and activation materials.
Track inventory levels and notify management when supplies require replenishment.
Organize warehouse shelving, storage areas, and equipment for maximum efficiency.
Perform regular inventory audits and equipment inspections.
Assist with equipment maintenance and repairs as needed.

Deliveries & Equipment Rental Oversight

Coordinate pickups and deliveries for events throughout the Chicago area.
Schedule and oversee equipment rentals with vendors.
Verify rental orders for accuracy and inspect equipment upon arrival and return.
Assist with on-site installation and strike when needed.

Promotional Production

Assist in the production and assembly of promotional materials, branded giveaways, signage, and event collateral.
Prepare branded merchandise and activation kits for client events.
Coordinate with vendors to ensure marketing materials are produced accurately and on schedule.
Help maintain quality control of all branded materials before distribution.

Qualifications

1–3 years of experience in event production, warehouse operations, logistics, or a related field preferred.
Strong organizational skills with exceptional attention to detail.
Ability to prioritize multiple projects and meet deadlines.
Comfortable working both independently and as part of a collaborative team.
Excellent communication and problem-solving skills.
Basic proficiency with Microsoft Office and Google Workspace.
Valid driver's license with a clean driving record preferred.
Ability to lift and move up to 50 pounds.
Willingness to work occasional evenings, weekends, and travel for events as needed.

Preferred Skills

Experience working in live events, entertainment, hospitality, or production environments.
Basic knowledge of tools, assembly, and event production equipment.
