Job Title: Bookkeeper (Part-Time / Full-Time) Company Overview
We are a growing, locally owned HVAC business dedicated to keeping our community comfortable year-round. We pride ourselves on honest service and high-quality workmanship. As our field team expands, we need an organized, detail-oriented Bookkeeper to manage our financial backbone and keep our front office running smoothly.
Position Summary
The Bookkeeper will oversee the daily financial operations of the company. Your main responsibilities will center on ensuring our technicians are paid accurately, our customers are invoiced promptly, and our financial records are perfectly organized for year-end tax preparation.
Key Responsibilities
- Invoicing & Accounts Receivable:
- Generate and send accurate invoices to residential and commercial clients.
- Process incoming payments (credit cards, checks, financing options).
- Follow up on overdue accounts and manage collections with a professional, friendly approach.
- Payroll Administration:
- Track and verify field technician hours and overtime.
- Process weekly payroll and ensure accurate withholding.
- Tax Preparation Support:
- Maintain an immaculate, audit-ready general ledger throughout the year.
- Prepare and organize monthly/quarterly financial statements (P&L, Balance Sheet) for our external CPA.
- Handle sales tax tracking, filing, and reporting unique to local service contracting.
- Accounts Payable & Expense Tracking:
- Reconcile supplier invoices for HVAC equipment, parts, and sheet metal.
- Track overhead expenses, fuel receipts, and vehicle maintenance costs.
Qualifications & Skills
- Experience: 2–4 years of bookkeeping experience, preferably in the construction, trade, or home services industry.
- Software Proficiency: Strong working knowledge of QuickBooks (Online or Desktop). Experience with HVAC scheduling/dispatch software (like ServiceTitan, Housecall Pro, or Jobber) is a major plus.
- Knowledge: Solid understanding of basic accounting principles, payroll regulations, and local sales tax laws.
- Attributes: Highly organized, detail-driven, and capable of maintaining strict confidentiality regarding payroll and company financials.

- Schedule: 20 - 40 hrs per week / Monday–Friday (schedule flexible)
- Pay Range: $28 – $35 per hour based on experience
