Full Job Description

Philosophy:

EARLY IS ON TIME, ON TIME IS LATE, AND LATE IS UNACCEPTABLE

This is a hybrid role supporting both business and personal needs. Daily priorities can shift quickly, and the ideal candidate does whatever it takes to get the job done.

Core Responsibilities

Administrative & Communications

Manage email: handle low-to-mid-level responses directly; draft higher-level responses for review
Answer and screen phone calls, acting as gatekeeper
Open, sort, and manage physical mail, including RSVPs
Draft, edit, and proofread correspondence, memos, and documents
Take dictation (live or recorded) and notes at key meetings, following up on action items

Calendar & Scheduling

Maintain a shared calendar for streamlined communication
Schedule business and personal appointments (phone and in-person)
Coordinate appointment logistics: transportation, directions, and supporting materials
Prioritize sensitive or time-critical matters

Travel & Events

Travel with the executive as needed, or arrange advance setup
Attend meetings on the executive's behalf when required

Financial & Records

Handle bills and coordinate with the bookkeeper
Perform minor accounting duties
Maintain accurate records and a master tracker of projects, deadlines, and reminders
Review contracts as a second set of eyes
Notarize documents

Office & Systems Management

Open and close the office daily (hours of operation is Monday-Friday 9:00 AM - 5:00 PM)
Organize and maintain filing systems (paper and cloud-based)
Manage and update the CRM/contact database
Update blogs, websites, and social media accounts (as skills allow)
Keep the office clean, organized, and stocked; manage supply closets
Coordinate online purchases, returns, and service issues

Relationship Management

Liaise with lawyers, bankers, realtors, vendors, family, and friends
Purchase business gifts
Track and manage reminders for birthdays, anniversaries, holidays, and key dates

Research & Ad Hoc Support

Conduct research as needed
Support other duties as assigned

Qualifications

Tech-savvy, with strong skills in Word, Excel, email platforms, and general troubleshooting
Excellent writing skills — able to draft, edit, and proofread effectively
Strong interpersonal and communication skills, including active listening
Highly organized with strong time-management skills
Proactive problem-solver, comfortable multitasking
Professional phone manner and visitor-facing etiquette

Compensation

Pay range: $20.00–$25.00/hour, commensurate with ability and experience.
