Job Overview

We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, exceptional customer service, and efficient management of office resources. The ideal candidate will bring a proactive attitude, excellent organizational skills, and technical proficiency to foster a productive and welcoming workplace. As an Office Manager, you will serve as the backbone of our administrative team, supporting staff, clients, and visitors with professionalism and enthusiasm.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with exemplary phone etiquette.
Oversee office management tasks such as filing, data entry, maintaining spreadsheets, and organizing office supplies to ensure a tidy and efficient workspace.
Utilize software tools like Microsoft Office, Google Workspace, and productivity software to prepare documents, reports, and correspondence with accuracy.
Coordinate calendar management and scheduling for meetings, appointments, and events while ensuring optimal time management for staff.
Handle bookkeeping duties using QuickBooks or similar accounting software to assist with invoicing, billing, and financial record keeping.
Provide customer support by addressing client inquiries promptly via phone or email while maintaining professional communication standards.
Support administrative functions related to medical or dental reception if applicable, including appointment scheduling and patient record management.
Assist with clerical tasks such as proofreading documents, managing filing systems (physical and digital), and ensuring data entry accuracy.
Maintain excellent organizational skills to prioritize tasks effectively in a fast-paced environment while supporting personal assistant responsibilities when needed.

Experience

Proven experience in office management or administrative roles within a professional setting.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools.
Familiarity with QuickBooks or other bookkeeping software is highly desirable.
Experience handling multi-line phone systems and front desk operations in busy environments such as medical or dental offices is preferred.
Bilingual abilities are a plus to enhance client communication and team collaboration.
Demonstrated organizational skills with the ability to manage calendars, coordinate meetings, and prioritize multiple tasks efficiently.
Excellent customer service skills combined with professional phone etiquette and effective communication techniques.
