Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This pivotal role requires a proactive individual who excels in multitasking, maintains exceptional attention to detail, and demonstrates strong leadership skills. As Office Manager, you will oversee administrative functions, coordinate communication across departments, and ensure the smooth functioning of office processes. Your energetic approach will help foster a productive, welcoming workspace that supports our team’s success and enhances overall efficiency.

Duties

Manage daily office operations, including overseeing clerical tasks such as filing, data entry, and document proofreading to ensure accuracy and organization.
Back up the front desk receptionist, greeting visitors, handling multi-line phone systems with professionalism, and directing calls efficiently using phone etiquette.
Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) and Google Workspace to create reports, spreadsheets, and correspondence that support business needs.
Coordinate calendar management for executives and team members, scheduling meetings and appointments with attention to detail and time management.
Maintain office supplies inventory
Provide excellent customer service by assisting clients or visitors with inquiries via phone or in person while maintaining a friendly and professional demeanor.
Oversee office management duties including organizing files, managing office equipment maintenance, and ensuring compliance with health and safety standards.

Experience

Proven experience in office management or administrative roles with a strong background in clerical work and customer support.
Demonstrated proficiency with Microsoft Office Suite (Word, Excel), Google Workspace applications, and productivity software.
Experience operating phone systems and providing exceptional phone communication with clients or visitors.
Prior experience in front desk or medical/dental receptionist roles is advantageous for understanding client interaction protocols.
Strong organizational skills combined with excellent time management capabilities to handle multiple priorities efficiently.
