HOUSING AUTHORITY OF THE CITY OF ERIE

POSITION: Assistant Purchasing Agent, FLSA STATUS: Administrative Non-Exempt

DEPARTMENT: Administrative UNION STATUS: N/A

REPORTS TO: Purchasing Agent COMPENSATION: $40,000 – 45,000

SUMMARY: The Assistant Purchasing Agent is a full-time (35 hours per week) administrative position reporting directly to the Purchasing Agent. This position supports the purchasing and inventory functions of the Housing Authority by assisting with the procurement of materials, tools, equipment, and contracted services. The role requires regular use of the Housing Authority's purchase order and inventory systems, accurate tracking of warehouse supplies, and timely communication with the Purchasing Agent to ensure adequate stock levels are maintained.

ESSENTIAL JOB FUNCTIONS:

1. Assist the Purchasing Agent with the preparation, processing, and tracking of purchase orders in accordance with Housing Authority policies and procedures.

2. Utilize the Housing Authority's computerized purchasing and inventory systems with accuracy and attention to detail.

3. Maintain accurate inventory records of warehouse supplies and notify the Purchasing Agent when stock levels are low.

4. Receive, organize, and store warehouse shipments; ensure materials are properly labeled and accounted for.

5. Prepare and fill weekly supply orders for Housing Authority developments and complete all required documentation.

6. Assist in monitoring open purchase orders and invoices to support timely and accurate payment processing.

7. Coordinate with maintenance staff and vendors to ensure timely delivery and availability of materials.

8. Perform other related duties as assigned.

QUALIFICATIONS AND KNOWLEDGE:

*High school diploma or equivalent required.

*Prior experience in purchasing, inventory control, warehouse operations, or administrative support preferred.

*Ability to operate standard office equipment, including computers, printers, copiers, telephones, and related office technology.

*Basic computer skills and the ability to learn specialized purchasing and inventory software.

*Valid driver's license and a satisfactory driving record.

PHYSICAL REQUIREMENTS:

*Ability to move throughout the warehouse and office environments.

*Ability to perform moderate lifting, pushing and pulling.

*Must be able to lift and carry materials such as plumbing, electrical, and appliance components, parts and tools.

*Ability to stand, walk, bend, and reach for extended periods as required by job duties.

*Must maintain regular, punctual attendance in accordance with scheduled work.
