Job Overview

We are seeking a dynamic and highly organized Auto Body Shop Office Manager to lead the administrative operations of our busy auto body repair facility. This pivotal role combines office management, team supervision, and customer service to ensure smooth daily operations. As the backbone of our shop’s administrative functions, you will coordinate scheduling, oversee vendor relationships, manage financial records, and support a team dedicated to delivering exceptional service. Your energetic approach and attention to detail will help foster a productive environment that keeps our shop running efficiently and professionally.

Responsibilities

Manage daily office operations, including scheduling appointments, coordinating workflow, and maintaining organized filing systems
Supervise administrative staff and support team members with training, development, and performance management
Handle vendor management by negotiating contracts, processing invoices, and maintaining supplier relationships
Oversee bookkeeping and accounting functions using accounting software such as QuickBooks; ensure accurate record-keeping of expenses, payroll, and financial transactions
Manage human resources tasks including onboarding new employees, maintaining confidential personnel files, and ensuring compliance with employment laws
Coordinate payroll processing and benefits administration to ensure timely and accurate employee compensation
Utilize Microsoft Office applications and spreadsheets for reporting, budgeting, and data analysis to support operational decision-making
Maintain excellent customer service standards by managing client communication via multi-line phone systems, email correspondence, and in-person interactions
Oversee office supply inventory, filing systems, and document management to streamline administrative workflows
Assist with event planning for staff meetings or community outreach initiatives to promote team engagement

Experience

Proven supervisory experience in an office or administrative setting within the automotive repair or related industry
Strong proficiency with QuickBooks or similar accounting software; experience with bookkeeping and financial software is essential
Demonstrated expertise in schedule management, vendor relations, and office administration
Previous human resources experience including payroll processing and employee onboarding
Excellent communication skills with the ability to handle confidential information discreetly
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry tasks
Experience managing multi-line phone systems, calendar coordination, filing systems, and clerical duties in a fast-paced environment
Ability to train staff effectively while fostering a positive team atmosphere
Knowledge of automotive industry operations is a plus but not required; strong organizational skills are essential for success in this role
