About the Position
We are a growing property management company seeking a professional, highly organized Human Resources & Payroll Manager to oversee our day-to-day human resources, recruiting, payroll, timekeeping, compliance, and employee administration functions.
Our company currently employs approximately 35 team members and is actively growing to approximately 50 employees in the immediate future. Our workforce includes corporate, property management, leasing, maintenance, and other onsite personnel located across multiple properties and states.
This is a hands-on HR management position requiring someone who can balance two equally important responsibilities: protecting the company through consistent HR practices and regulatory compliance while helping our employees and managers develop and succeed.

The successful candidate should be able to objectively evaluate employee and management performance, conduct appropriate fact-finding when concerns arise, and make thoughtful recommendations based on documentation, company policy, applicable employment requirements, and the circumstances of each situation.
At the same time, our HR function should support a culture of mentorship, accountability, professional development, and continuous improvement.
Our goal is not simply to identify employee problems. We want HR to help managers become better leaders and help employees understand expectations, improve performance, and have opportunities to succeed.
Key Responsibilities
Recruiting & Staffing
- Manage recruiting for corporate and property-level positions across multiple markets.
- Prepare and maintain job postings and recruiting advertisements.
- Screen applicants and conduct initial candidate interviews.
- Coordinate interviews with hiring managers.
- Manage background checks, employment offers, and pre-employment requirements.
- Maintain an organized recruiting pipeline for current and anticipated staffing needs.
- Assist leadership in evaluating candidates objectively and consistently.
Payroll, Timekeeping & Attendance
- Administer employee timekeeping and attendance systems.
- Establish employees and managers within the appropriate payroll and timekeeping systems.
- Monitor missed punches, timecard corrections, overtime, PTO, attendance exceptions, and other payroll-related issues.
- Prepare and review payroll information to ensure accurate and timely payroll processing.
- Maintain payroll records related to new hires, terminations, compensation changes, deductions, PTO, and other employee changes.
- Develop procedures that improve timekeeping accuracy and manager accountability.
Employee Relations & Performance Management
- Provide professional HR guidance to managers regarding employee performance and workplace concerns.
- Assist managers with coaching, counseling, performance improvement plans, corrective actions, and terminations.
- Promote consistent application of company policies across employees, departments, properties, and markets.
- Review employee concerns objectively and conduct appropriate fact-finding before reaching conclusions or making recommendations.
- Maintain clear, factual, and professional documentation of employee relations matters.
- Help managers distinguish between performance issues, policy violations, training opportunities, and situations requiring formal corrective action.
- Encourage appropriate coaching and development when an employee can reasonably be supported toward successful performance.
Compliance & Risk Management
- Maintain a strong focus on HR and employment compliance.
- Help ensure company policies and employment practices comply with applicable federal, state, and local requirements.
- Monitor HR requirements as the company expands into and operates within multiple states.
- Maintain required personnel records, employment documentation, acknowledgments, and other compliance records.
- Coordinate unemployment claims, workers’ compensation matters, employment verifications, and related HR matters.
- Assist leadership in identifying and correcting HR practices that could create unnecessary employment or compliance risk.
HR Reporting & Administration
- Maintain accurate and confidential employee personnel records.
- Prepare regular reporting regarding headcount, staffing vacancies, recruiting activity, turnover, overtime, attendance, PTO, and other workforce metrics.
- Monitor staffing levels across the property portfolio.
- Track outstanding HR documentation and follow up with managers and employees as necessary.
- Develop and improve HR procedures as the company continues to grow.
Training, Mentorship & Team Development
- Help create a culture of accountability combined with employee development.
- Assist managers in becoming stronger supervisors and communicators.
- Identify opportunities for employee coaching and professional development.
- Help establish clear performance expectations for positions throughout the organization.
- Encourage professional, respectful communication between employees and management.
- Serve as a knowledgeable and approachable HR resource while maintaining appropriate professional boundaries and confidentiality.
Qualifications
- 5+ years of progressive human resources experience preferred.
- Experience with payroll and timekeeping administration.
- Demonstrated recruiting and candidate-screening experience.
- Experience supporting both hourly and salaried employees.
- Experience supporting employees across multiple locations; multi-state HR experience is strongly preferred.
- Working knowledge of federal employment requirements and the ability to research and administer state-specific requirements.
- Strong employee relations and performance-management experience.
- Excellent professional judgment and ability to remain objective when addressing difficult or sensitive workplace situations.
- Strong written communication and documentation skills.
- Excellent organizational skills and attention to detail.
- Strong Excel and reporting capabilities.
- Experience with Paychex or comparable payroll/timekeeping platforms preferred.
- Property management, multifamily housing, hospitality, construction, or another multi-location service-industry background is highly desirable.
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification is preferred but not required.

As our organization continues to grow across multiple states, this individual will play an important role in developing the HR infrastructure, policies, reporting, and management practices necessary to support that growth.
Pay: $60,000.00 - $75,000.00 per year
