Full Job Description

Half-time In-office (Bellingham)

Compensation: $20–$22/hour, depending on experience, with growth path for full-time admin and/or agent role. SIMPLE IRA match after 2 years.

About the Role

This role supports the daily heartbeat of the agency. You’ll help keep information organized, tasks moving, and clients feeling cared for. Because we’re a small team, your work has a direct impact on how smoothly the agency runs. You’ll work closely with the owner, who still oversees operations, and you’ll become a trusted part of the team as we continue to grow.

Responsibilities

The following will vary depending on whether you bring insurance experience, accounting/bookkeeping experience, or extensive administrative experience.

1. Daily Workflow & Task Support

Monitor shared inboxes and route tasks with clarity and accuracy.
Track open items to completion so nothing gets lost or delayed.
Keep workflows organized inside our AMS and carrier portals.
Flag missing information or bottlenecks so the team stays on track.

2. Client Service & Communication

Respond to client requests with warmth, accuracy, and professionalism.
Process COIs, endorsements, evidence of coverage, and basic policy updates.
Prepare renewal documents and gather needed information from clients.
Document interactions and ensure follow‑through on every request.

3. Agency Operations

Maintain clean, consistent digital files and naming conventions.
Support onboarding for new clients and new business submissions.
Assist with billing questions, payments, and reconciliation tasks.
Help keep internal processes and checklists up to date.

Clients feel supported because their requests are handled promptly and kindly.
The owner and producers can stay focused on advising clients instead of chasing paperwork.
Workflows stay organized, predictable, and easy to follow.
You bring steadiness, clarity, and a sense of care to the team.

Qualifications

Experience in an administrative or operations role; insurance experience is also an asset.
Strong organizational instincts and comfort with structured processes.
Ability to learn AMS systems, carrier portals, and digital tools.
Clear, friendly communication — written and verbal.
A calm, reliable presence who can manage multiple tasks without losing accuracy.
