Phillips Dental Care Center is seeking a highly organized, professional, and people-focused Administrative & Human Resources Coordinator to join our team.

This unique role combines the daily responsibilities of a front office Administrative Assistant with the opportunity to provide leadership and direction in Human Resources responsibilities for our two dental practice locations.
The successful candidate will work closely with the dentists and office manager to help strengthen our team, create consistency between locations, support employee success, and maintain the professional standards and culture that define Phillips Dental Care Center and Tooth31 Dental Care.
The daily responsibility of this position is serving as an exceptional front office Administrative Assistant—welcoming patients, managing scheduling, handling financial transactions, and helping create a positive patient experience.
In addition, this role will play an important part in recruiting, interviewing, hiring, onboarding, employee development, policy enforcement, and workplace culture.

The ideal candidate will have:
- Bachelor's Degree (required)
- Preference given to candidates with a degree in Human Resources, Business Administration, Organizational Leadership, Healthcare Administration, or a related field
- Previous experience in Human Resources, recruiting, interviewing, hiring, employee relations, leadership, or team coordination preferred
- Strong administrative and customer service experience
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and professionalism
- Ability to exercise sound judgment and make thoughtful decisions
- Ability to manage multiple priorities in a fast-paced environment
Key Responsibilities
Administrative Assistant & Front Office Responsibilities (Daily Role)
- Serve as the welcoming first point of contact for patients and visitors
- Provide exceptional customer service through every patient interaction
- Answer multi-line phones and assist patients with scheduling needs
- Schedule, confirm, and manage patient appointments
- Check patients in and out efficiently and professionally
- Collect patient payments and process daily financial transactions
- Post insurance payments accurately
- Assist patients with billing and account questions
- Verify insurance information as needed
- Maintain accurate patient records
- Support efficient front office operations and communication between patients and the dental team
- Help create a positive, professional, and welcoming patient experience
Human Resources & Team Leadership Responsibilities
As the Human Resources Coordinator, you will support the employee experience for both Phillips Dental Care Center and Tooth31 Dental Care (approximately 20 employees).
Responsibilities include:
- Work closely with the dentists and office manager regarding staffing needs, employee concerns, and team development
- Lead recruiting efforts for open positions
- Create and manage job postings across hiring platforms
- Review resumes and applications with attention to candidate qualifications and practice fit
- Screen candidates and coordinate interviews
- Conduct and assist with interviews
- Provide thoughtful feedback regarding candidate strengths and alignment with practice values
- Assist leadership with hiring decisions and employment offers
- Recognize qualities that contribute to successful team members and a positive workplace culture
- Coordinate new employee onboarding and orientation
- Maintain confidential employee records and HR documentation
- Help create consistency in employee expectations, policies, and procedures across both locations
- Support and reinforce office policies, procedures, and standards
- Assist with employee communication, accountability, and performance feedback
- Support employee engagement, retention, and professional development initiatives
- Coordinate employee recognition activities and special celebrations
- Assist with team-building activities throughout the year
- Partner with leadership regarding team growth and improvement opportunities

Schedule & Work Location
The administrative portion of this position is primarily based at our Phillips Dental Care Center location:
200 Lima Ave.
Findlay, OH
This position may be structured as a 3- or 4-day-per-week administrative schedule depending on the needs of the practice and the successful candidate’s availability.
Typical patient care hours are:
- Monday–Wednesday: 8:30 AM – 5:00 PM
- Thursday: 7:00 AM – 3:00 PM
Human Resources responsibilities support both Phillips Dental Care Center and Tooth31 Dental Care, which are located approximately two minutes apart.
Because recruiting and interviewing often require flexibility to accommodate candidate schedules, interviews and certain HR responsibilities may take place outside of normal business hours. When needed, the work schedule will flex accordingly.
