Full Job Description

We are a prominent Hudson Valley law firm is seeking a full-time, in-person Receptionist / First Impression Specialist for our Newburgh, NY office. This position serves as the first point of contact for clients, visitors, and callers and plays a vital role in creating a professional, welcoming experience.

The successful candidate will be responsible for greeting visitors, managing a high volume of incoming calls across multiple phone lines, and providing general administrative support in a fast-paced office environment. This role requires exceptional customer service skills, strong communication abilities, and a professional demeanor.

The ideal candidate will possess a strong work ethic, excellent telephone etiquette, and the ability to multitask while maintaining a high level of organization and attention to detail. Candidates should be reliable, punctual, proficient with computers and office technology, and comfortable working in a collaborative team environment. Prior experience in a professional office setting is preferred. Bilingual Spanish-speaking candidates are encouraged to apply.

Duties

Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle all incoming correspondence, including emails, mail, and deliveries, with accuracy and timeliness
Maintain organized front desk area, ensuring all office supplies are stocked and the environment is tidy
Utilize productivity software such as Microsoft Office (Word, Excel) to prepare documents, spreadsheets, and reports
Perform data entry tasks with precision using spreadsheets and database systems like QuickBooks for financial recordkeeping
Coordinate appointments, meetings, and schedules while managing office management tasks to support daily operations

Qualifications

Proven clerical experience or office experience with a strong understanding of front desk responsibilities
Proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, and data entry skills
Technical proficiency with multi-line phone systems and general computer literacy
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Strong customer service skills coupled with professional phone communication and etiquette
Experience with QuickBooks or similar accounting software is a plus for handling financial transactions
Personal assistant or administrative experience that demonstrates reliability and attention to detail
