JOB SUMMARY:
The Programs Manager is responsible for the research, development, coordination, implementation, and evaluation of programs offered by Henry Ford Genesys Health Club (HFGHC) that are not directly assigned to a specific department. This role ensures that programs support the Club’s strategic goals, provide a strong member experience, and meet established participation, operational, and financial expectations.
This position is expected to evaluate existing programming, identify new opportunities, and develop consistent processes for program proposals, pricing, scheduling, registration, staffing, communication, and performance review. The Programs Manager works closely with the Programs Coordinator and other department managers to move programs from concept through implementation and ongoing evaluation.
The Programs Manager is responsible for preparing and managing the Programs Department budget, monitoring participation and financial performance, completing cost-benefit analyses, and making timely recommendations regarding pricing, staffing, continuation, expansion, or discontinuation of programs.
This role provides leadership and operational oversight for a variety of Club programs and special events, including birthday parties, lock-ins, camps, clinics, volleyball, soccer, basketball, golf, tumbling/gymnastics, member retention events, community and partner-based programming, wellness opportunities, and other special programs or events that align with the Club’s needs and goals. Examples may include Member Appreciation Family Night, Selfies with Santa, Easter Egg-stravaganza, Flint Firebirds Floor Hockey Clinic, and Flint City Bucks Soccer Clinic. The Programs Manager also supports the operational coordination of the Parkinson’s Program, Massage & Spa services, and other assigned wellness or specialty programs to ensure schedules, staffing, supplies, billing, and communication needs are addressed.
The Programs Manager must be able to effectively engage and collaborate with a diverse range of individuals, including members, prospective members, employees, instructors, contractors, vendors, community representatives, and Henry Ford Health partners. This position requires exceptional organization, follow-through, communication, and a positive, solutions-focused approach. Flexibility in working hours, including occasional evenings and weekends, is required based on program and Club needs.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Develop, coordinate, implement, document, and continuously improve Club programming and related operational processes.
- Create and maintain an annual programming calendar that supports member needs, Club priorities, available space, staffing, and revenue goals.
- Research and evaluate new program opportunities, including demand, competition, staffing, facility requirements, pricing, risk, and projected financial impact.
- Prepare program proposals and cost-benefit analyses for review with the leadership team and other applicable managers before implementation.
- Prepare and manage the Programs Department budget and monitor revenue, expenses, participation, and profitability against established expectations.
- Review program results regularly and recommend adjustments to pricing, schedules, staffing, content, promotion, or delivery as needed.
- Partner closely with the Programs Coordinator to organize program details, registrations, coaches, instructors, schedules, communications, supplies, equipment, and participant follow-up.
- Provide direction, support, and follow-up to managers and key employees during the planning, implementation, and evaluation of cross-departmental programs.
- Develop, manage, and evaluate Club camps, clinics, and recurring programs, including volleyball, soccer, basketball, golf, tumbling/gymnastics, and other offerings as assigned. Coordinate scheduling, staffing, registration, programming, supplies, safety, communication, and overall program execution.
- Coordinate birthday parties, lock-ins, rentals, and other special events, including scheduling, staffing, programming, billing, facility coordination, and communication with the requesting party.
- Coordinate and support member retention and special events, including Member Appreciation, Family Night, Selfies with Santa, Easter Egg-stravaganza, partner clinics, and other Club events or initiatives developed throughout the year.
- Provide operational oversight and coordination for Basic Life Support and other assigned staff certification or training programs, including scheduling, communication, registration, and coordination with applicable instructors or partners.
- Support Parkinson-related and other community wellness programming and serve as a Club liaison with applicable Henry Ford Health and community partners, including the Michigan Parkinson Foundation and related reimbursement/administrative requirements.
- Provide operational oversight and coordination for Massage & Spa services, including staffing, scheduling, supplies, payroll, communication, and service standards.
- Recruit, hire, onboard, train, schedule, coach, evaluate, and manage program staff, instructors, coaches, and contractors in accordance with Club policies, including performance management, corrective action, and other employment-related responsibilities as appropriate.
- Process and submit payroll for assigned areas and verify the accuracy of instructor, coach, contractor, and program-related payments.
- Conduct staff meetings, training, and performance conversations as needed to support consistency, accountability, and development.
- Meet regularly with instructors, coaches, and contractors to review participation, service quality, financial performance, and compliance with Club expectations.
- Work closely with Marketing to ensure program details, deadlines, pricing, schedules, and promotional needs are communicated accurately and on time, and that program-related materials are professional, accurate, current, and displayed appropriately.
- Ensure all program schedules, registration information, webpages, flyers, signage, and internal communications remain accurate and up to date.
- Coordinate with leadership, Operations, Maintenance, Service Desk, and other necessary departments regarding setup, equipment, access, safety, registration, and participant needs.
- Maintain accurate program records, registration and billing information, participation data, waivers, instructor documentation, and performance reports.
- Manage program inventory, supplies, and equipment; identify replacement needs and make budget-conscious purchasing recommendations.
- Develop and maintain Programs Department policies, procedures, agreements, and best practices to support safe, consistent, and efficient operations.
- Collect and evaluate participant feedback, address concerns promptly, and identify opportunities to improve the overall program experience.
- Prepare regular program updates and recommendations for the leadership team.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree in recreation, business, hospitality, health and wellness, public service, or related field preferred.
- Three to five years of experience coordinating or managing programs, events, recreation, wellness, hospitality, or related services preferred.
- Supervisory experience, including hiring, training, scheduling, coaching, and performance management preferred.
- Experience developing budgets, monitoring revenue and expenses, and completing program or event cost-benefit analyses required.
- Experience coordinating multiple programs, events, staff, contractors, schedules, and deadlines simultaneously required.
- Experience in a health club, fitness, healthcare, recreation, wellness, hospitality, or service environment preferred.
- CPR, First Aid, and AED certifications required within 60 days of hire.

WORKING CONDITIONS AND REQUIREMENTS:
Must be able to navigate and utilize all equipment and spaces within HFGHC without assistance. Flexibility in hours, including occasional early mornings, evenings, and weekends based on program, event, departmental, and Club needs, is required.
Pay: $25.00 - $28.00 per hour
