Duties

Manage front desk responsibilities, including greeting visitors and directing them appropriately
Operate multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks software
Organize and file documents efficiently, ensuring easy retrieval and compliance with office procedures
Support office management tasks such as calendar management, appointment scheduling, and correspondence handling
Assist with bookkeeping activities, including invoicing and basic financial record keeping
Provide clerical support by proofreading documents, managing incoming/outgoing mail, and supporting team members with administrative tasks

Experience

Proven office experience or administrative background demonstrating strong organizational skills
Familiarity with QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
Experience handling multi-line phone systems and providing excellent phone etiquette
Bilingual abilities are highly valued to assist diverse client needs effectively
Prior customer service experience in a professional setting enhances your ability to support clients and team members alike
Knowledge of medical or dental receptionist duties, including calendar management and patient communication, is a plus
Personal assistant or office management experience that showcases multitasking abilities and time management skills
