Full Job Description

Shift: M - F 6:30 am - 3:00 pm

Position Summary

The Procurement Admin is responsible for supporting inventory control, purchasing, and supply management activities across the fulfillment center and corporate office. This role ensures operational teams have the materials, supplies, and equipment needed to support daily business operations while maintaining accurate inventory records and supporting cost control initiatives.

The Procurement Admin serves as a key partner to Operations, Facilities, Finance, and leadership teams by managing inventory transactions, receiving

Essential Duties and Responsibilities

Inventory Management

Perform routine cycle counts and inventory audits to ensure inventory accuracy.
Investigate and resolve inventory discrepancies.
Maintain accurate inventory records within company systems.
Monitor inventory levels and proactively identify replenishment needs.
Support annual physical inventory processes.

Receiving & Inventory Transactions

Receive and process incoming shipments.
Verify quantities, inspect deliveries, and reconcile packing slips against purchase orders.
Ensure inventory receipts are accurately entered into company systems.
Coordinate with vendors and internal stakeholders regarding receiving issues or
discrepancies.
Maintain organized receiving and inventory storage areas.

Procurement & Purchasing

Order packaging materials, warehouse supplies, office supplies, and operational
consumables.
Support procurement activities for both Fulfillment Center operations and Corporate
Headquarters.
Create and manage purchase orders.
Track open orders and follow up with vendors regarding delivery timelines.
Assist in sourcing products and obtaining quotes from suppliers.
Support cost-saving initiatives and vendor management efforts.

Vendor & Stakeholder Support

Build and maintain positive working relationships with vendors and suppliers.
Coordinate with Operations, Facilities, HR, Finance, and Leadership teams to
understand purchasing needs.
Resolve vendor-related issues including shortages, damaged goods, and invoicing
discrepancies.
Assist with vendor onboarding and documentation as needed.

Reporting & Administrative Support

Maintain procurement records and purchasing documentation.
Generate inventory, purchasing, and supply usage reports.
Track spending and assist with budget management efforts.
Support audits and compliance activities related to procurement and inventory
processes.
Assist with special projects and ad hoc administrative requests as assigned.

What You'll Need

Required

High school diploma or equivalent.
2+ years of experience in inventory control, procurement, purchasing, receiving, warehouse operations, or administrative support.
Strong attention to detail and organizational skills.
Proficiency in Microsoft Excel and Microsoft Office Suite.
Ability to manage multiple priorities in a fast-paced environment.
Strong written and verbal communication skills.

Preferred

Experience with ERP, WMS, or inventory management systems.
Experience creating and managing purchase orders.
Experience supporting fulfillment center, warehouse, or manufacturing operations.
Associate's or Bachelor's degree in Supply Chain, Business Administration, or related field
