The Role

We are looking for a Service Billing & Administrative Specialist to join our service department office team. This is an in-office, full-time position based on Long Island supporting the billing and administrative operations of our service division. The right candidate is detail-oriented, communicates professionally, and takes ownership of their work. This role is centered on three core functions: billing, service contract administration, and customer communication. The successful candidate will be someone who can manage each with accuracy and consistency.

What You'll Own

Billing for all service department work including time and materials service calls, quoted jobs, and recurring service contracts, processed through our Davisware software system
Drafting and sending contract proposals for quoted service jobs
Entering service contracts into Davisware and maintaining those records including renewals and updates
Answering incoming calls from customers requesting service, gathering relevant information, and coordinating with our dispatcher to ensure timely response
Purchase order entry and management
General office and document management including filing, scanning, and maintaining organized shared drive structures
Answering and managing a multi-line phone system, including transferring calls and coordinating visitor access

Note: This role will have a significant focus and emphasis on service contracts, specifically billing, renewals, document management, database management, and data entry.

What You Bring

The following are requirements for this role:

Experience with service contract billing or recurring billing in a field services or similar environment
Ability to draft professional correspondence and proposals in Microsoft Word
Proficiency in Microsoft Office, particularly Word, Excel, and Outlook
Comfort navigating shared drives, renaming and organizing files, and handling general office technology including printing, copying, and scanning
Experience operating a multi-line phone system
Strong communication skills with a professional and clear telephone manner
Strong attention to detail and the ability to manage multiple priorities simultaneously

The following will meaningfully strengthen your candidacy:

Previous experience in the construction or mechanical contracting industry, with familiarity with the relationship between general contractors, trade contractors, subcontractors, and field technicians
Familiarity with ECI GlobalEdge (fka Davisware)
