Position Overview
The Operations & Administrative Coordinator is a highly organized, personable, and resourceful professional responsible for supporting the day-to-day operations of the office while providing exceptional administrative and front-desk support. This role serves as a central point of contact for clients, agents, vendors, and team members and helps ensure that office systems, communications, events, and administrative processes run efficiently.
The ideal candidate is professional, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced real estate environment. This position combines office operations, administrative support, reception, social media management, marketing coordination, and event planning.
Key Responsibilities
Office Operations & Administration
- Oversee and coordinate daily office operations to ensure an organized, professional, and welcoming environment.
- Serve as a primary point of contact for agents, clients, vendors, and visitors.
- Answer and direct phone calls, respond to general inquiries, and manage incoming correspondence (email, mail, packages, etc.)
- Greet clients and visitors with a warm, professional, and service-oriented approach.
- Manage office calendars, appointments, meetings, and conference room schedules.
- Maintain office supplies, equipment, technology, and general office organization.
- Coordinate with vendors, service providers, and building management as needed.
- Assist with purchasing, invoices, expense tracking, and basic bookkeeping/financial administration.
- Maintain accurate records, databases, files, and confidential information.
- Develop and maintain office procedures, checklists, systems, and workflows to improve efficiency.
- Assist leadership with special projects and administrative initiatives.
- Help ensure the office consistently operates in a professional and organized manner.
Administrative & Agent Support
- Provide day-to-day administrative support to leadership and real estate agents.
- Assist with preparation of documents, reports, presentations, spreadsheets, and correspondence.
- Maintain databases, contact lists, CRM records, and internal systems.
- Assist with onboarding new agents and team members, including preparing materials, coordinating access, and organizing training resources.
- Help coordinate meetings, training sessions, team communications, and internal initiatives.
- Track deadlines, follow-ups, and action items to help keep projects moving forward.
- Assist with transaction-related administrative tasks and documentation when needed.
- Maintain confidentiality of client, financial, personnel, and business information.
Reception & Client Experience
- Create a positive first impression for clients, agents, vendors, and guests.
- Manage the front desk and ensure visitors receive prompt and professional assistance.
- Answer phones and emails and route inquiries to the appropriate team member.
- Assist clients and visitors with general questions and office needs.
- Maintain a clean, organized, and welcoming reception and common area.
- Coordinate deliveries, mail, packages, and office communications.
- Provide a high level of internal and external customer service.
Social Media & Marketing
- Manage and maintain the company’s social media presence across platforms such as Instagram, Facebook, LinkedIn, and other relevant channels.
- Create, schedule, and publish engaging social media content.
- Develop a consistent content calendar in coordination with leadership and marketing initiatives.
- Assist with creating graphics, flyers, announcements, property-related content, team spotlights, and promotional materials.
- Capture and organize photos and videos from office activities, events, team celebrations, and community activities.
- Monitor social media engagement, comments, and messages and coordinate responses when appropriate.
- Track basic social media performance and engagement metrics.
- Help maintain consistent branding, messaging, and online presence.
- Research relevant real estate, community, and industry content and identify opportunities for engagement.
- Assist with email marketing, newsletters, digital communications, and other marketing initiatives as needed.
Event Coordination
- Plan, coordinate, and execute office, client, agent, community, and company events.
- Assist with event budgeting, scheduling, vendor coordination, invitations, registration, and logistics.
- Coordinate catering, venues, entertainment, décor, supplies, signage, and other event needs.
- Create event timelines and ensure all logistical details are completed before and during events.
- Coordinate event communications and promotional materials.
- Assist with setup and breakdown of events.
- Capture photos and content for social media and marketing purposes.
- Maintain event calendars and help ensure deadlines and commitments are met.
- Assist with client appreciation events, agent meetings, training sessions, networking events, holiday events, and community outreach activities.
Financial & Operational Support
- Assist with tracking office expenses, invoices, purchases, and budgets.
- Maintain organized financial and administrative records.
- Assist leadership with monthly reports and operational tracking.
- Coordinate with accounting/bookkeeping resources when necessary.
- Monitor office expenditures and help identify opportunities to improve efficiency and control costs.
Qualifications
- 2+ years of experience in administrative support, office management, operations, real estate, customer service, marketing, or a related field preferred.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Professional, friendly, and confident interpersonal skills.
- Strong attention to detail and ability to follow through.
- Ability to prioritize and manage multiple projects simultaneously.
- Comfortable working independently and taking initiative.
- Proficiency with Microsoft Office and/or Google Workspace.
- Experience with social media platforms and content scheduling.
- Basic knowledge of Canva or similar design tools preferred.
- Experience with CRM systems, databases, or real estate technology is a plus.
- Event planning or coordination experience is preferred.
- Basic bookkeeping or financial administration experience is a plus.
- Real estate industry experience is preferred but not required.
- Must be willing to clean toilets .
Ideal Candidate

They are equally comfortable answering the front desk phone, organizing an event, updating a spreadsheet, coordinating with a vendor, creating a social media post, or helping leadership solve an operational issue.

The Operations & Administrative Coordinator is ultimately responsible for helping create a well-organized, productive, polished, and positive office environment.
Pay: $20.00 per hour
