Full Job Description

Responsibilities:

1. Generate monthly reports from MAS500.
2. Compile monthly financial statements and internal analysis reports.
3. Coordinate annual accounting audits with auditors from an independent CPA firm.

[AP]
1. Enter AP Invoices: Maintain AP invoices to match with bills mailed in.
2. Enter Manual Checks: Enter manual checks based on the ACH or wire-out information.
3. Print and mail checks weekly.
4. Email A/R invoices daily: update the customer email lists, and send invoices via e-mail.
5. Monthly Statement: manual check reports.
6. Daily shipment report: update daily shipment reports with freight charges.
7. Collaborate with other departments to ensure accurate and timely financial reporting

[AR]
1. Invoicing
1.1. Regular Invoice
1.1.1. Commit invoices when each sales order is completed and shipped from “WMS”.
1.1.2. Issuing invoices for each Sales Order when the merchandise has been shipped to the customers.
1.1.3. Dispatching invoices to the customers by mean of Win fax or e-mail.

1.2. Commercial Invoices
1.2.1. A printout of the commercial invoice cover sheet is required.
1.2.2. Dispatching commercial invoices to the related parties.

2. Credit Memo: issue credit/debit memo after receiving completed RMA files from the RMA dept.

3. Direct deposit checks from Bank of America online.

4. Collection:
4.1. Printing Aging Report for accounts balance monthly.
4.2. Making phone calls to remind customers of the past-due invoices.

5. Monthly Statement:
5.1. Prepare customer statements at the beginning of each month.
5.2. E-mail statements to customers.

6. Credit checks and release orders: Credit checks for new customers.

7. Payroll Process.

Qualifications:
- Bachelor's degree in Accounting or related field preferred
- Experience with accounting software such as Sage or similar systems is preferred
- Excellent attention to detail and accuracy in data entry
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook
