Job Summary

We are seeking a dynamic and organized Office Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and callers, manage daily administrative tasks, and support office operations to ensure a smooth and efficient workplace. Your proactive approach and excellent communication skills will help foster a welcoming environment while maintaining organizational excellence. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced, collaborative setting.

Duties

Answer multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills
Greet visitors at the front desk, assist with check-in procedures, and direct them appropriately
Manage calendar schedules, appointments, and meetings using productivity software such as Microsoft Office and Google Workspace
Perform data entry and maintain accurate filing systems, including digital and physical documents
Support bookkeeping tasks using QuickBooks or similar accounting tools to track expenses and invoices
Assist with office management duties such as ordering supplies, organizing files, and coordinating maintenance requests
Proofread correspondence, reports, and other documents to ensure clarity and accuracy

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Technical proficiency in office management software, data entry tools, and productivity applications
Excellent communication skills in both English and bilingual capabilities (if applicable)
Experience with clerical tasks such as filing, proofreading, and document management
Knowledge of customer support best practices and front desk procedures in medical or dental office environments is a plus
Familiarity with bookkeeping software like QuickBooks for basic financial recordkeeping

Must have experience in office work.

Pay: $300.00 - $400.00 per week
