Full Job Description

Overview
We are seeking a detail-oriented and results-driven Staff Accountant to support core accounting operations, emphasizing accounts receivable, billing, and collections. This role will play a critical part in maintaining accurate financial records, ensuring timely revenue collection, and supporting the month-end close process in collaboration with the Corporate Controller. The ideal candidate has a solid foundation in accounting principles, strong analytical capabilities, and can operate effectively in a fast-paced, deadline-driven environment.

Responsibilities

Accounts Receivable & Billing

Manage the full-cycle accounts receivable process, including tracking outstanding balances and monitoring aging reports
Prepare, review, and issue accurate and timely invoices in accordance with contractual terms
Apply customer payments and reconcile discrepancies to ensure accurate account balances
Partner with internal teams to ensure billing accuracy and completeness

Collections

Execute proactive collections strategies to reduce delinquency and improve cash flow
Communicate professionally with clients to resolve outstanding balances and negotiate payment arrangements when necessary
Maintain detailed documentation of collection activities and payment agreements
Analyze AR aging to prioritize collection efforts and mitigate risk

General Ledger & Bookkeeping

Record daily banking and credit card transactions in the general ledger
Maintain accurate financial records in accounting systems (e.g., Zoho Books, QuickBooks, or similar)
Assist in ensuring compliance with internal controls and accounting policies

Month-End Close Support

Perform monthly bank reconciliations and investigate variances
Reconcile accounts receivable subledger to the general ledger
Record payroll entries and accrals as provided by the Corporate Controller
Prepare and post journal entries as needed to support accurate financial reporting

Client & Internal Support

Respond to client inquiries regarding billing, payments, and account status
Investigate and resolve billing discrepancies promptly and professionally
Collaborate cross-functionally with operations teams to ensure alignment on billing and client accounts

Qualifications

Bachelor’s degree in Accounting, Finance, or a related field is preferred
Minimum of 5+ years of experience in billing, accounts receivable, and collections
Industry experience in construction, real estate, or permit expediting strongly preferred
Proficiency in accounting software such as **QuickBooks, Zoho Books**, or similar platforms
Experience with CRM or project management systems (e.g., Zoho CRM) is a plus
Strong understanding of accounting principles and AR processes
Excellent organizational, analytical, and problem-solving skills
Effective communication skills with the ability to interact professionally with clients and internal stakeholders
