Full Job Description

Air Conditioning of Arizona, a family-owned and operated HVAC company, is looking for an energetic, dependable, bubbly, and self-motivated Customer Service Representative / Dispatcher to join our growing team! If you take initiative without being asked, love helping people, and take pride in staying organized and on top of details — we want to meet you.

This position plays a critical role in delivering exceptional customer experiences while helping our team meet daily revenue and operational goals.

Position Purpose

To assist in achieving the company’s strategic objectives and annual goals through the delivery of exceptional service and support that reflects Air Conditioning of Arizona’s vision, mission, purpose, and values.

Key Responsibilities

Create a positive and professional customer experience on every interaction
Maintain and manage the daily schedule for all service technicians
Dispatch technicians as service calls are completed
Prioritize calls based on ACA caller priority and greatest operational/customer need
Monitor and adjust appointment schedules throughout the day
Proactively notify customers of any scheduling delays
Monitor daily call count and revenue goals to support departmental performance
Communicate effectively with customers, vendors, technicians, and sales staff via phone, email, and written correspondence
Maintain accurate and updated customer database records
Assist with administrative duties to improve operational efficiency
Promptly report service issues to leadership to ensure 100% customer satisfaction
Effectively manage conflict resolution with clear, calm, and solution-focused communication
Perform other duties as assigned

Position Requirements

3 years of customer service and/or HVAC dispatch experience
Self-motivated with the ability to take initiative and work independently as needed
Strong, positive communication skills (written and verbal)
Ability to multitask in a fast-paced environment
Proficient in Microsoft Office and advanced computer systems
Organized with strong attention to detail
Ability to function well within a team environment
Geographical knowledge of service area and/or map reading skills
Industry knowledge
Drug-free workplace

Performance Standards

Success in this role will be measured by:

Reduction in customer complaints related to scheduling
Minimizing return trips/callbacks due to dispatch inefficiencies
Accuracy of customer history and maintenance agreement files
Timely and accurate warranty processing
Follow-up on pending or recommended work
Timeliness and accuracy of financial reporting
Maintaining accounts receivable and payable within guidelines
Efficient cash flow management
Producing departmental and consolidated financial statements by the 15th (including Budget vs. Actual reporting)

Education

High School Diploma or GED required

Physical Requirements

Regularly spends extended periods sitting and using office equipment and computers (approximately 80% of the time)
Majority of workday spent on the telephone with customers and technicians
Occasionally lifts 5–45 pounds
Must have good visual acuity to operate call management hardware, software, and communication equipment
