Full Job Description

Support One of Charlotte's Top-Producing Real Estate Agents

We are seeking a Licensed Real Estate Admin Assistant/Transaction Coordinator to support one of our top-producing real estate agents, who closes over 100 transactions per year.

This is an opportunity to become the operational backbone of a high-performing real estate business. We are looking for someone who is detail-oriented, process-driven, and takes pride in creating an exceptional client experience from contract to closing.

This is not a sales role. It is a full-time operations position designed for someone who enjoys keeping transactions organized, communicating with clients, and ensuring every detail is handled with excellence.

What You'll DoTransaction Coordination

Manage residential transactions from contract through closing
Track all deadlines, contingencies, inspections, appraisals, and closing milestones
Coordinate with buyers, sellers, lenders, attorneys, inspectors, and vendors
Ensure all files are complete and brokerage compliant

Client Experience

Provide proactive updates throughout the transaction
Answer routine client questions using established processes
Coordinate inspections, walkthroughs, closings, and scheduling
Execute post-closing follow-up, review requests, and referral campaigns

Operations & CRM

Maintain Follow Up Boss (FUB) and transaction management systems
Update tasks, notes, pipelines, and client records
Organize documents within Google Drive and transaction software
Manage calendars and scheduling
Assist with post-closing marketing and social media coordination

Compensation

Base Salary: $42,000

Performance Bonus

$25 per closed transaction
Approximately $2,500 annually

Expected First-Year Compensation: $45,000+

As the business continues to grow toward 120–130 annual closings, there is significant opportunity for increased compensation and responsibility.

QualificationsRequired

Active North Carolina Real Estate License
Minimum one year of real estate transaction experience (Transaction Coordinator or licensed agent)
Excellent organizational and communication skills
Ability to manage multiple active transactions simultaneously
Strong attention to detail
Comfortable with Google Workspace, CRMs, email, and transaction management software
Available Monday-Friday, 9:00 AM-5:00 PM
Ability to work in our SouthPark office

Preferred

Follow Up Boss experience
Experience supporting a high-volume real estate agent or team
Familiarity with Zillow lead management
Social media content creation or scheduling experience

Training & Onboarding

Month 2: Take ownership of client communication and vendor coordination.

Month 3: Independently manage transactions from contract to close, with your lead agent serving as your escalation point—not your day-to-day manager.
