National Advertising Coordinator

Department: National Sales
Company & Location: TheHomeMag, Cape Coral, FL
Reports To: SVP of Operations
Position Type: Full-Time

Position Overview

TheHomeMag is seeking a highly organized, detail-oriented National Advertising Coordinator to support our National Sales team and ensure the accurate, timely execution of National advertising orders across our markets.

This role serves as a key administrative hub between the National team, TheHomeMag’s local markets and, at times, our National clients. The National Advertising Coordinator will be responsible for managing the day-to-day administrative workflow associated with National accounts, including order entry, CRM management, call tracking and reporting, ad proofing, documentation, and communication with team members across the organization.

This position will also have occasional direct communication with National clients regarding advertising materials, proofs, deadlines, order details, and other administrative needs. As a result, the successful candidate must be comfortable representing TheHomeMag professionally and providing a responsive, polished client experience.

The ideal candidate is a proactive self-starter who takes ownership of their work, thrives in a fast-paced environment, and understands that accuracy and follow-through are critical. This person must be comfortable managing multiple orders, deadlines, markets, clients, and stakeholders simultaneously while maintaining exceptional attention to detail.

Key Responsibilities

Manage the administrative process for National advertising orders from receipt through completion.
Accurately enter National orders and ensure all order details, pricing, markets, dates, and specifications are correct within the company CRM.
Maintain organized and accurate records for National accounts, campaigns, and orders.
Track National sales calls and activity and prepare recurring reports for the National team and National clients.
Coordinate and track ad proofs, ensuring advertisements are reviewed, corrected, approved and completed within required deadlines.
Review orders, proofs and related materials for accuracy and completeness before they move to the next stage of production.
Communicate regularly with TheHomeMag team members across multiple markets to coordinate National orders and resolve questions or discrepancies.
Communicate directly with National clients, as needed, regarding advertising materials, proofs, deadlines, order details, approvals and other administrative matters.
Provide National clients with timely, professional and responsive communication while representing TheHomeMag and the National team.
Work closely with the National Sales team to support account needs, deadlines, reporting and campaign execution.
Proactively follow up with internal team members on missing information, approvals, materials, or other items that could delay an order.
Maintain calendars, trackers, reports and other administrative tools used by the National team.
Identify inconsistencies or potential issues and take initiative to resolve them before they become problems.
Help improve administrative processes and workflows as the National business continues to grow.
Provide additional administrative support to the National team as needed.

The successful National Advertising Coordinator is someone the National team, our local markets and our National clients can depend on completely. Orders are entered correctly. Deadlines are tracked. Proofs do not fall through the cracks. Reports are accurate and on time. Questions receive prompt responses. Details are double-checked and potential problems are identified early.

This person doesn't wait to be reminded of what needs to happen next, they take ownership, stay ahead of deadlines, communicate proactively and keep the National order process moving.

Qualifications & Skills

Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
Strong CRM proficiency is required, with the ability to quickly become an expert user of TheHomeMag's CRM platform.
Extremely high attention to detail and commitment to accuracy.
Strong written and verbal communication skills.
Professional and effective email communication.
Comfortable communicating directly with clients and delivering a high level of professionalism and responsiveness.
Ability to communicate and collaborate with employees across multiple markets, departments and levels of the organization.
Self-starter who can work independently, prioritize responsibilities and take ownership of assignments.
Strong follow-through and ability to proactively identify what needs to happen next.
Comfortable working in a fast-paced environment where priorities and deadlines may change.
Strong computer skills and ability to learn new systems quickly.
Experience with spreadsheets, reporting, order-entry systems, CRM platforms, or similar business applications preferred.
Ability to handle repetitive, detail-intensive work while maintaining a consistently high level of accuracy.
Previous experience in sales administration, advertising, media, order management, account coordination, client services, or a related administrative role is preferred.
