Full Job Description

Overview

Under the general direction of the Director, the Assistant to the Director assists with daily operations of the food pantry and helps ensure the community has access to food and essential resources. Responsibilities include but are not limited to, overseeing food distribution, maintaining inventory, stocking shelves, coordinating volunteers, and inputting data into our database. The position requires strong organization, planning, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Assistant to the Director regularly interacts with neighbors, volunteers, donors and community partners. The position requires empathy, compassion, and an understanding of underserved populations, along with the ability to provide respectful and professional customer service to individuals from diverse backgrounds and those who may need special consideration and/or accommodations. The position requires standing and walking for extended periods, occasionally bending and lifting or carrying items weighing up to 50 pounds. The Assistant to the Director may occasionally be exposed to refrigerated storage areas, varying outdoor weather conditions, and increased physical activity during distributions, deliveries, food drives, and special events. The Coordinator also has access to confidential information and must maintain accuracy, discretion, and professionalism at all times.

Duties

Administration: (≈45%)

Answer phone calls and provide information or direct inquiries as appropriate.
Maintain accurate neighbor and program records while protecting confidential information. Enter data in Neighbor Intake, the Kansas Food Bank (KSFB) data management system.
Prepare quarterly data reports.
Create quarterly newsletters highlighting pantry updates, activities, and current donation needs.
Design flyers, signs, and other informational or outreach materials.
Copy, scan, print, and organize forms, documents, and other pantry materials.
Manage and regularly update the organization’s social media accounts, including
Facebook and Instagram, to promote programs, events, donation needs, and community updates.
Maintain the pantry calendar
Communicate with donors, volunteers, community partners, and participating agencies as needed.
Assist with general administrative tasks and communication as needed.

Warehouse & Stocking: (≈40%)

Receive, sort, organize, stock, and distribute salvage items and community donations.
Maintain organized pantry, warehouse, and storage areas.
Ensure proper storage and handling of perishable and non-perishable food items.
Monitor inventory and stock what is needed.
Communicate low-stock/high-need items to the Director.
Check donated items for quality and appropriate dates.
Help maintain a clean, safe, and organized pantry environment.
Occasionally assist with unloading food deliveries.
Perform other related duties as assigned.

Distribution Assistance: (≈10%)

Assist with and occasionally oversee pantry operations during food distribution, helping ensure an organized and welcoming experience for neighbors.
Assist neighbors with questions, pantry procedures, and available services in a
respectful and professional manner.
Provide information and referrals to community resources related to food security and other basic needs.
Support volunteers during distribution and help address questions or concerns as they arise.
Help maintain an organized and efficient flow of neighbors during busy distribution periods.

Volunteer Coordination: (≈5%)

Help orient, train, and supervise volunteers.
Assign daily responsibilities and provide clear instructions to volunteers.

Pay: $14.00 - $16.00 per hour
