Full-Time Medical Office ManagerColorado Accident & Injury — Colorado Springs, Colorado

Colorado Accident & Injury (CAI) is seeking an experienced, highly organized, and service-oriented Medical Office Manager to lead the daily operations of our growing Colorado Springs clinic.

CAI is a multidisciplinary medical practice specializing in the evaluation and treatment of patients injured in motor vehicle accidents. Our team provides coordinated medical care, physical therapy, chiropractic care, massage therapy, diagnostic services, and case management in a professional, patient-centered environment.

Position Summary

The Office Manager will oversee the clinic’s daily administrative and operational functions while supporting an exceptional experience for patients, providers, attorneys, insurance representatives, and referral partners. The ideal candidate is a hands-on leader who communicates well, follows through reliably, and thrives in a fast-paced healthcare environment.

Key Responsibilities

Direct the daily administrative operations of the Colorado Springs clinic.
Supervise, train, schedule, and support front-office and clinical support staff.
Maintain efficient patient intake, scheduling, check-in, check-out, and follow-up processes.
Ensure that new patients are scheduled promptly with the appropriate providers and services.
Monitor patient attendance and coordinate outreach for missed appointments.
Promote excellent customer service and address patient concerns professionally.
Coordinate communication among physicians, chiropractors, physical therapists, massage therapists, medical assistants, case managers, and administrative staff.
Help ensure medical records, intake forms, insurance information, assignments of benefits, liens, and related documents are complete and accurate.
Communicate professionally with attorneys, paralegals, insurance adjusters, and referral sources.
Monitor clinic performance, including new-patient volume, visits, scheduling utilization, cancellations, documentation completion, and outstanding administrative tasks.
Support billing and revenue-cycle operations by ensuring accurate demographic, claim, insurance, and attorney information.
Maintain appropriate inventory of medical and office supplies.
Ensure compliance with HIPAA, OSHA, company policies, and applicable healthcare regulations.
Assist with staff meetings, performance evaluations, workflow improvements, and implementation of clinic policies and procedures.
Work closely with CAI leadership to support continued growth of the Colorado Springs location.

Qualifications

Previous medical office management or healthcare operations experience strongly preferred.
Prior experience supervising employees and managing clinic workflows.
Strong organizational, leadership, and problem-solving abilities.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and follow projects through to completion.
Proficiency with electronic health records, scheduling platforms, Microsoft Office, and general office technology.
Professional demeanor and the ability to handle confidential information appropriately.
Experience with personal-injury medicine, motor vehicle accident claims, MedPay, medical liens, or attorney communication is preferred but not required.
Bilingual English/Spanish skills are highly desirable.

Primarily Monday through Friday
On-site at our Colorado Springs clinic
