We are seeking a Bilingual Client Services Leader to oversee the Client Services and Intake

Team (“Comms Team”) and ensure exceptional communication and client experience

throughout every stage of the client’s journey with our firm. This role serves as the bridge

between prospective clients, current clients, legal and administrative team and community

partners and ensures smooth operations, efficient, high-quality client care, and team

performance.

The Comms Team Leader plays a key role in client retention, intake quality, office

operations, community outreach, and overall firm culture.

The ideal candidate is highly organized, proactive, compassionate, detail-oriented, and

thrives in a fast-paced environment. This position requires someone who genuinely enjoys

helping people and can confidently lead a team while maintaining professionalism and

empathy in all client interactions.

Core Responsibilities:

Lead, manage and holds accountable the Client Services and Intake Team;
Conduct team meetings, coaching sessions, and performance reviews;
Monitor team productivity, response times, and quality of communication;
Ensure seamless communication between prospective clients, current clients, attorneys, administration, and legal staff;
Assist with onboarding and training new team members, both in-office as well as virtual assistants;
Create and improve workflows, systems, scripts, and operational procedures;
Conduct and oversee initial client intakes and case screenings;
Oversee front desk operations and client hospitality experience;
Supervise appointment scheduling and attorneys’ calendars;
Manage and maintain the client pipeline and CRM systems;
Process and organize daily physical and electronic mail;
Maintain physical and electronic filing and storage systems;
Prepare files and documentation for new case openings and case closing;
Ensure office spaces, hospitality areas, and coffee stations remain organized and

stocked;

Collaborate with the marketing team regarding lead follow-up and client communication;
Support community engagement and relationship-building initiatives;

This position will be split between our offices in Providence, RI and Southborough, MA and

candidates must be comfortable commuting between both locations as needed.

Qualifications:

Excellent written and verbal communication skills in English, Portuguese, and Spanish;

Fluency in English and Portuguese required; Candidates who also speaks Spanish in

addition, will be prioritized;

Strong translation and interpretation skills;

Leadership and team management experience;

Experience in customer service, intake, legal administration, or office management

preferred;
