Job Summary

We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and organizational skills will help create a warm, efficient environment for clients, visitors, and team members alike.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Answer multi-line phone systems efficiently, directing calls accurately and professionally
Manage appointment scheduling and calendar coordination using productivity software and calendar management tools
Handle data entry tasks with precision, maintaining accurate records in spreadsheets and databases
Support office management duties such as filing, document proofreading, and organizing supplies
Assist with client communication via email or phone, providing excellent customer support and support services
Perform general clerical tasks including word processing, proofreading, and maintaining organized files

Requirements

Proven experience in office administration or front desk roles with strong organizational skills
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry software
Excellent computer literacy and technical proficiency in office productivity tools
Strong phone etiquette skills with experience managing multi-line phone systems
Bilingual abilities are highly desirable to serve diverse client needs effectively
Demonstrated customer service skills with a friendly, professional demeanor
Ability to multitask efficiently while maintaining attention to detail and accuracy
Previous experience with QuickBooks or similar accounting software is a plus
Strong time management skills with the ability to prioritize tasks effectively
