Full Job Description

Summary: The Accounting Specialist is a non-exempt position that reports directly to the Executive Director but works closely with members of the Firm. The overall objective of this position is to assist with the daily operations of the Business Office. Responsibilities will include a wide range of activities that will vary from day to day to include Billing, Accounts Receivable, Accounts Payable and Excel reporting.

Primary Duties and Responsibilities:

Set up and maintain client information in firm accounting software.

Review engagement letters to ensure accuracy of matter and client data.

Daily processing of Accounts Receivable.

Daily reviewing of Bank Accounts and electronic receipts.

Performing month-end bank reconciliations on all accounts.

Maintaining Trust (IOLTA) Accounts of client funds and ensuring compliance with NH Bar requirements.

Processing of LEDES format electronic invoices through various online billing sites.

Processing Wire Transfers and ACH's as needed in a timely manner.

Monthly Financial and Budget reporting.

Annual 1099 Reporting.

Ensure that all client trust funds are properly handled, safeguarded and accounted for.

Perform edits and finalize invoices for delivery to clients via mail, e-mail, and electronically through various billing sites.

Respond to inquires from clients, attorneys, and billing professionals in a timely and professional manner, with a focus on providing superior customer service.

Ensure all Firm policies and procedures are followed.

Take on special projects as assigned.

Maintain a high degree of confidentiality.

Serve as backup to other members of the Business office.

Requirements:

At least 3+ years of accounting experience, legal industry preferred

Bachelor or Associates Degree in accounting/finance or a relevant field, preferred

Must be able to work 7.5 hours per day

Proficiency in legal industry software is preferred

Experience with E-billing and various websites such as Bottomline, Tracker, Collaborati, Tymetrix, Corridor, CounseLink, Trideo and Datalytics (is a plus)

Proficient in Microsoft Word, Excel and Outlook

Ability to handle multiple tasks simultaneously, set priorities and accommodate rush requests

Must be a team player, willing to help other team members during peak times

Excellent communication and interpersonal skills required

Must be able to lift and carry 15 pounds
