Patient Case Manager/Chiropractic Assistant (Growth Track)

At Knapp Chiropractic & Wellness Center, we help families in the Waukesha County area take back their health through nervous system-focused chiropractic care. We're growing quickly, and we need someone who wants to grow with us, starting hands-on in the clinic and building toward owning patient case management and conversion.
This is not a front-desk job. This is an entry point into one of the most important seats in the practice: the person who turns interest into commitment, and commitment into results, for the patient and for the practice.
THE CAREER PATH
You'll start as a Chiropractic Assistant, learning the clinical rhythm of the office: patient flow, scans, therapy support, and how a case actually gets built from the first visit forward. As you master that foundation, you'll grow into the Patient Case Manager role, the person who owns patient conversion, retention, and the relationship between a lead clicking "book now" and a patient committing to their care.
This path is earned through performance, not tenure. The bar is high because the role matters.

- You're comfortable being the one who asks for the sale, confidently presenting a care plan investment and holding space for the patient to say yes, without flinching or over-explaining.

WHAT YOU'LL DO
Patient Case Management & Conversion (Core Focus)
- Own the follow-up process for leads generated through our Meta ad campaigns, calls, texts, and scheduling, turning interest into booked evaluations.
- Conduct financial consultations and present care plan investment with clarity and confidence (full training and scripting provided).
- Track and personally drive your conversion numbers, leads booked, evaluations completed, and care plans started.
- Proactively follow up on missed appointments, cancellations, and patients who've fallen off their care plan, treating every one as a recoverable relationship, not a closed file.
- Build genuine patient relationships that generate authentic referrals and word-of-mouth growth.
Clinical & Patient Experience
- Take patient histories and prepare the doctor for each visit with accurate, relevant information (training provided).
- Perform nervous system scans and assist with PEMF and decompression therapy (training provided).
- Create a warm, organized experience for every patient, including scheduling, check-in/out, and payments.
- Educate patients on chiropractic care and wellness, and monitor their adherence to their care plan.
Marketing & Growth
- Plan and execute the practice's marketing calendar, campaigns, events, and social content.
- Capture photo and video content in the office weekly, following patient privacy and HIPAA standards.
- Represent the practice at community events and local business partnerships, initiating conversations rather than waiting to be approached.
- Track performance metrics across marketing and conversion, and bring ideas for what to try next.
Operations
- Manage inventory, supplies, and day-to-day office organization.
- Monitor patient ledgers and account accuracy.
- Collaborate with Dr. Knapp to document and continually refine office and case management processes.
QUALIFICATIONS
- 1–3 years of experience in direct-to-consumer sales, ideally in a consultative, relationship-driven environment rather than transactional retail.
- Candidates with backgrounds in fitness sales, health coaching, wellness membership sales, or lead generation/appointment setting are highly encouraged to apply.
- Intermediate proficiency with Microsoft Office/Google Suite, social media platforms (Instagram, Facebook), and CRM software or a demonstrated ability to learn new technology and systems quickly.
- Advanced communication skills: confident and clear in person, on the phone, and in writing, with the ability to read a room and adjust tone accordingly.
- High school diploma or equivalent required; college coursework or a degree in business, health sciences, kinesiology, or communications is a plus but not required.
- Reliable transportation and flexibility to represent the practice at occasional evening or weekend community events.
- No prior chiropractic or healthcare experience required we will train you on everything clinical. What we can't train is drive, warmth, and a sales instinct.
GROWTH & EARNING POTENTIAL
This role includes a performance-based incentive on top of base pay, tied directly to the outcomes you drive: patients you personally convert from ad-generated leads, and patients who enroll in care as a result of your case management. [Specific bonus structure and thresholds to be finalized.] As you progress toward the Case Manager role, compensation grows with the added scope and responsibility.
We'll also fully support and pay for your Wisconsin Chiropractic Technician (CT) license as part of your development — a credential that expands both your clinical role and your earning potential.
PHYSICAL REQUIREMENTS
This is an active, on-your-feet role. Please read this section carefully and honestly before applying. The essential physical functions of this position include:
- Standing and moving throughout the clinic for up to 8 hours in a day, with limited seated time.
- Walking the equivalent of approximately 10,000 steps within a typical clinic day.
- Lifting, carrying, and moving objects weighing up to 50 pounds — equipment, supplies, event displays, and marketing materials.
- Assisting patients on and off therapy tables, which includes frequent bending, reaching, squatting, kneeling, and stooping throughout the day.
- Setting up and breaking down tables, banners, and equipment for offsite community events.
- Sustained use of a computer, phone, and point-of-sale system.
