THE OPPORTUNITY
We're looking for a Facilities Solutions Coordinator to join our growing team.
This is not an administrative assistant, receptionist, or traditional office coordinator position. We're looking for someone who has already worked in facilities management, repair and maintenance, construction coordination, or a closely related environment, and who understands what it means to manage vendors, respond to escalations, coordinate urgent service, and keep a job moving from request through completion.
We're looking for professional problem solvers.
As a Facilities Solutions Coordinator, you'll become the central point of communication between clients, contractors, vendors, and your teammates. You'll take ownership of maintenance and construction projects from the moment they arrive until the work is complete, ensuring every client receives the exceptional level of service that has become synonymous with the RKB name.
Your day will involve constant communication by phone, text, and email while managing multiple fast-paced projects at once.
Specifically, you'll:
- Communicate with clients, contractors, vendors, and teammates by phone, text, and email
- Create formal quotes to present to clients
- Coordinate service requests and schedule repairs
- Keep multiple projects moving simultaneously without letting details fall through the cracks
- Follow up proactively with vendors and clients to keep work moving
- Solve problems before they become bigger problems
- Keep clients informed every step of the way
- Source, coordinate, and manage vendors and contractors from dispatch through job completion
- Review vendor pricing and scopes of work for reasonableness and accuracy
- Negotiate pricing, timelines, and expectations with vendors when appropriate
- Recognize when a vendor's price, timeline, or proposed solution doesn't make sense and know when to push back, seek alternatives, or escalate
- Create accurate client quotes based on vendor pricing, scope, and required margins
- Treat every client as though they're your only client, delivering the concierge-level service RKB is known for
INDUSTRY EXPERIENCE REQUIRED
We are specifically looking for someone with hands-on experience in facilities management, repair and maintenance, construction coordination, or a similar service environment.
You should already understand how to work directly with vendors and contractors, coordinate service calls, manage escalations, evaluate timelines, and navigate the realities of urgent facilities requests.
Administrative experience alone, even within a construction or facilities company, is not sufficient for this role.
Experience with facilities management/work-order platforms is strongly preferred. Familiarity with one or more of the following is a major plus:
ServiceNow, ServiceChannel, Fexa, Ecotax, Corrigo, Coupa, FM Pilot, and ResQ

In the same hour, you may speak with a facilities executive for a nationally recognized brand, text a contractor who’s behind schedule, reassure a store manager dealing with an urgent maintenance issue, solve an unexpected scheduling problem, and collaborate with teammates to find the best solution.
Adaptability means being able to quickly assess what the situation requires and adjust your approach. You know when to move quickly, when to slow down and pay attention to the details, when to change direction, and when a problem requires a completely different solution.
Communication agility means being able to read the person on the other end of the conversation and adjust accordingly. You can be polished and professional with an executive, reassuring and empathetic with a frustrated client, direct with a contractor who needs accountability, and collaborative with a teammate, all while communicating with confidence and professionalism.
Exceptional coordinators know how to adapt to both the situation and the person without losing ownership of the outcome.

REMOTE WORK & AFTER-HOURS EXPECTATIONS
This is a primarily remote position, but working from home does not mean setting your own hours. This is a full-time position, and you are expected to be actively working, available to your team, and responsive to clients and vendors throughout your scheduled workday, just as you would be if you were working in an office.
Remote work is not an opportunity to run errands, manage household responsibilities, attend appointments, or structure your work around personal activities during scheduled hours. When you're on the clock, RKB and your teammates need to be able to count on you.
The nature of facilities work also means emergencies don't always happen during regular business hours. While your normal schedule will be Monday through Friday, there will be times when you need to stay beyond your scheduled hours to see an emergency through, assist when a teammate is unavailable, or participate in after-hours/on-call coverage. Overtime is paid when applicable.
Bottom line: Working remotely changes where you work, not when you work or what is expected of you
