Scheduler & Staffing Coordinator

Touching Hearts at Home is a growing senior home care agency dedicated to helping older adults, seniors, and individuals with disabilities maintain their independence and remain safely at home for as long as possible.

We are looking for a Scheduler & Staffing Coordinator who thrives in a fast-paced environment, communicates well, and enjoys solving problems.

Home care experience is strongly valued, and scheduling experience is preferred—but not required. If you have experience in home care, healthcare, staffing, recruiting, hospitality, dispatch, or another high-volume environment where priorities change quickly and strong communication is essential, we would love to hear from you.

What You'll Do

As a Scheduler & Staffing Coordinator, you'll help make sure our clients have reliable care and our team has the caregivers needed to support them. This role combines day-to-day scheduling with caregiver interviewing, hiring support, and orientation.

Your responsibilities will include:

Coordinate schedules for new and existing clients to maintain consistent and reliable care
Respond to call-outs, availability changes, open shifts, and other coverage needs
Communicate scheduling and care-related changes with clients, families, and caregivers
Identify appropriate caregivers for open shifts based on availability, client needs, and continuity of care
Conduct caregiver interviews and assist with candidate selection
Facilitate New Hire Orientation for incoming caregivers
Help ensure new caregivers are prepared for successful placement with clients
Enter and maintain accurate caregiver and client information in our management system
Communicate regularly with caregivers regarding schedules, availability, and staffing needs
Participate in a rotating after-hours phone schedule
Collaborate with the office team to solve staffing challenges and support daily operations
Perform other duties as assigned

Who We're Looking For

We're looking for someone who is organized, adaptable, personable, dependable, and calm under pressure.

Home care changes quickly. A caregiver may call out, a client may need additional hours, and a new caregiver may be arriving for orientation—all while the regular schedule still needs your attention. The right person can prioritize what matters most, communicate clearly, and keep moving when the day doesn't go exactly as planned.

You'll be a strong fit if you:

Have previous home care or senior care experience, OR experience working in a fast-paced, high-volume environment
Have scheduling, staffing, recruiting, dispatching, coordinating, or workforce management experience (preferred, but not required)
Are comfortable interviewing candidates and helping determine whether they're a good fit for our team
Are comfortable speaking and presenting information to groups during New Hire Orientation
Can manage multiple priorities, interruptions, and frequent changes
Have excellent written and verbal communication skills
Are confident communicating with caregivers, clients, families, applicants, and coworkers
Have strong problem-solving and decision-making skills
Are comfortable using computers and learning new software
Pay close attention to details and follow through on commitments
Enjoy working collaboratively as part of a team
Have a genuine desire to serve others

Touching Hearts at Home is continuing to grow, and we're looking for someone who wants to grow with us. This position provides exposure to scheduling, staffing, caregiver recruitment, onboarding, and day-to-day home care operations, with opportunities to develop into a larger leadership role within our organization.

This is a full-time, exempt position and includes participation in a rotating after-hours phone schedule.
