Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. You will manage financial records, handle client and vendor communications, and support office management tasks with enthusiasm and professionalism. This paid position offers an exciting opportunity to contribute to a thriving organization while developing your administrative and financial expertise.

Responsibilities

Maintain accurate financial records using QuickBooks and other productivity software, including data entry, invoicing, and expense tracking
Manage Payroll through QuickBooks system
Manage Accounts Payable and Receivables
Manage multi-line phone systems, answer inquiries professionally, and direct calls efficiently
Provide exceptional customer service by supporting clients via phone, email, and in person at the front desk
Handle office management duties such as organizing files, managing supplies, and coordinating appointments
Prepare reports, spreadsheets, and documents using Microsoft Office tools like Word and Excel with attention to detail and proofreading accuracy
Assist with clerical tasks including typing, data entry, document processing, and maintaining organized records
Support team members with administrative tasks such as calendar management, scheduling meetings, and providing personal assistant support when needed

Experience

Proven office experience with a strong background in administrative roles or clerical work
Familiarity with QuickBooks accounting software for bookkeeping functions
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheet management
Excellent computer literacy including data entry, document formatting, and internet research skills
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Bilingual abilities are a plus for communicating with diverse clients and team members
Previous experience in customer service or front desk roles that involved phone communication and client interaction
