Job Overview

Accounting & Administrative Professional

Location: Frederick, Maryland
Employment Type: Full-Time, in-person
Company: SmartBolts – an established manufacturing company producing our patented and engineered bolt products that are revolutionizing industrial bolting around the world.

Position Summary

We are seeking a detail-oriented, organized, and dependable Accounting & Administrative Professional to manage the day-to-day accounting and administrative operations of our growing manufacturing company. This is a hands-on position responsible for maintaining accurate financial records, supporting operations, and ensuring timely completion of accounting, purchasing, shipping, payroll, and regulatory responsibilities.

The ideal candidate is comfortable working independently in a small business environment where flexibility, initiative, and accuracy are essential. This position reports to the CFO/CEO/Owner.

Primary Responsibilities

Accounting & Bookkeeping

Maintain company books using QuickBooks.
Process accounts payable and accounts receivable.
Prepare customer invoices and monitor collections.
Reconcile bank, credit card, and other balance sheet accounts.
Maintain accurate general ledger records.
Assist with monthly and year-end closing activities.
Prepare financial reports and support management with financial information.
Maintain organized accounting records and documentation.

Payroll & Compliance

Process payroll accurately and on schedule.
Prepare and submit payroll tax reports and other required government filings.
Assist with sales tax, business licenses, and other regulatory reporting requirements.
Work with outside CPA during year-end and tax preparation.

Purchasing & Operations

Issue purchase orders and maintain purchasing records.
Coordinate with vendors regarding pricing, deliveries, and invoices.
Assist with inventory-related purchasing activities.

Shipping & Logistics

Prepare domestic and international shipping documentation.
Coordinate shipments with freight carriers and customs documentation as required.
Track shipments and resolve shipping issues.
Maintain shipping records and export documentation.

Administrative Support

Maintain organized physical and electronic filing systems.
Support onboarding of new employees.
Answer general administrative inquiries.
Support management with special projects.

Qualifications

Required

Bachelor's degree in Accounting, Finance, Business, or a related field.
Minimum of three years of accounting or bookkeeping experience.
Strong working knowledge of accounting principles and financial statements.
Experience with QuickBooks.
Proficiency with Microsoft Office, particularly Excel.
Experience processing payroll and managing accounts payable and receivable.
Excellent organizational skills and attention to detail.
Strong written and verbal communication skills.
Ability to manage multiple priorities with minimal supervision.

Preferred

Experience in a manufacturing environment.
Experience with purchasing, inventory, or supply chain activities.
Familiarity with international shipping and export documentation.
Experience preparing government filings and regulatory reports.
Working knowledge of AI productivity tools (such as ChatGPT, Microsoft Copilot, or similar) to improve efficiency, document preparation, and workflow automation.
