Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role involves overseeing administrative functions, managing office systems, and ensuring a smooth workflow across all departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient and welcoming workplace. In this role, you will be the backbone of our office operations, supporting team members and maintaining high standards of professionalism and productivity.

Responsibilities

Manage daily office operations, including supply procurement, maintenance, and equipment management to ensure a functional workspace.
Oversee front desk activities, greeting visitors, handling multi-line phone systems, and providing excellent customer service.
Coordinate calendar management and scheduling for meetings, appointments, and company events using productivity software such as Microsoft Office and Google Workspace.
Maintain accurate records through data entry, filing systems, spreadsheets, and document proofreading to support administrative needs.
Handle bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar accounting tools.
Support client communication efforts by managing correspondence, phone etiquette, and ensuring timely responses to inquiries.
Supervise clerical staff or administrative assistants when applicable, fostering a collaborative team environment focused on efficiency and accuracy.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications with strong spreadsheet and word processing skills.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Technical proficiency with office management tools such as multi-line phone systems and data entry platforms.
Bilingual abilities are highly desirable to support diverse client interactions.
Demonstrated experience in office management or administrative roles with strong clerical experience including filing, proofreading, and calendar management.
Exceptional customer service skills combined with professional phone etiquette and client communication expertise.
Computer literacy with a focus on productivity software, typing accuracy, and overall technical proficiency necessary for seamless office operations.
