Overview
We are seeking a dynamic and highly organized Office Assistant to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional support across administrative functions. As an Office Assistant, you will be the first point of contact for visitors and callers, manage essential clerical tasks, and assist with office management duties. Your energetic approach and attention to detail will help foster an efficient, welcoming environment that keeps our operations running seamlessly. Responsibilities

Key Responsibilities: Executive & CEO Support
Manage CEO calendar, priorities, and daily workflow

Cross-Team Coordination

Act as a communication bridge between HR, Training, and Management teams
Follow up on tasks assigned to departments and ensure execution
Track progress of ongoing company initiatives

Operations Management

Monitor daily performance reports from teams
Ensure deadlines and SOPs are followed across departments
Maintain internal dashboards and reporting systems

Communication & Documentation

Handle internal communication and task delegation updates
Maintain organized records, reports, and meeting notes
Ensure clarity in instructions from leadership to teams
Organize meetings, leadership calls, and strategic sessions
Prepare daily briefings and action summaries for the CEO

Skills

Confident, professional, and self-motivated personality
Ability to work well in a team
Advanced computer knowledge, CRM, and Sales Software
Flexibility to work in a dynamic environment, as per business requirements
Good communication skills in English and Punjabi
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
Bilingual abilities are a plus to assist diverse clients and team members
Knowledge of multi-line phone systems, phone etiquette, and front desk operations
Experience with bookkeeping software such as QuickBooks is highly desirable
Exceptional proofreading skills and attention to detail in all written communication
Previous experience as a medical or dental receptionist or personal assistant is advantageous
Strong time management skills to handle multiple tasks efficiently while maintaining accuracy
