Overview

We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. This role offers an exciting opportunity to support various administrative functions, enhance office efficiency, and provide exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong technical skills to manage multiple tasks with enthusiasm and professionalism. As an Office Assistant, you will be the backbone of our office environment, ensuring seamless communication, organization, and support across departments.

Responsibilities

Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Perform data entry and maintain accurate records using spreadsheets, Microsoft Office applications, and productivity software.
Handle clerical tasks such as filing, document processing, word processing, and calendar management to support daily operations.
Assist with office management activities including supply inventory, organization of office spaces, and coordinating maintenance requests.
Provide excellent customer service by supporting client communication efforts and addressing inquiries promptly via phone or email.
Support administrative functions such as scheduling appointments, managing emails, and preparing reports to enhance overall productivity.
Utilize computer literacy and technical proficiency to troubleshoot basic software issues and improve workflow efficiency.

Requirements

Proven office experience with a strong background in clerical duties, data entry, and customer support.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and productivity software.
Experience with QuickBooks or similar accounting software is preferred but not required.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong communication skills including phone communication, client interaction, and bilingual abilities are a plus.
Demonstrated computer literacy and technical proficiency to navigate various software platforms efficiently.
Previous experience in front desk or personal assistant roles is highly desirable.
Ability to manage time effectively while handling multiple responsibilities simultaneously.
Knowledge of multi-line phone systems and office management best practices will contribute to success in this role.
