Full Job Description

Job Overview
We are seeking a detail-oriented and proactive Accounting Assistant to join our dynamic team. In this vital role, you will support the accounting department by managing financial records, processing transactions, and ensuring the accuracy of financial data. Your organizational skills and office management expertise will help streamline daily operations, contributing to the overall efficiency of our finance functions. This position offers an excellent opportunity to develop your accounting and administrative skills within a collaborative environment.

Duties

Accounts Payable & Receivable

Process and review incoming invoices, purchase orders, and expense reports for accuracy and proper authorization
Post payments, receipts, and journal entries into the accounting system
Reconcile vendor statements and follow up on discrepancies
Generate and send customer invoices and monitor outstanding balances
Follow up on past-due accounts and assist with collections as needed

General Accounting Support

Assist with month-end and year-end closing procedures
Prepare and post general ledger entries
Reconcile bank statements and balance sheet accounts
Maintain accurate and up-to-date financial records in accordance with company policies
Support the preparation of financial reports, summaries, and schedules

Payroll Support

Assist with processing monthly payroll
Verify timesheets and employee records for accuracy
Maintain payroll files and ensure compliance with applicable regulations

Administrative & Compliance Duties

Maintain organized filing systems for financial documents, both digital and physical
Assist with audits by gathering and preparing supporting documentation
Ensure compliance with internal controls, company policies, and accounting standards
Communicate with vendors, clients, and internal departments to resolve billing or payment issues
Respond to accounting inquiries in a timely and professional manner

Systems & Reporting

Enter and maintain data in accounting software (QuickBooks Enterprise)
Run standard financial reports and assist management with ad hoc reporting requests
Identify opportunities to improve accounting processes and workflows

Qualifications

Associate's or Bachelor's degree in Accounting, Finance, or related field (or equivalent experience)
1–3 years of accounting or bookkeeping experience; Proficiency in Quickbooks Enterprise Edition is a Plus
Proficiency in Microsoft Excel and other related software
Strong attention to detail and organizational skills
Ability to handle confidential information with discretion
