Full Job Description

Job Overview

We are seeking an experienced, highly organized Executive Assistant to join our team. The position supports executive leadership by managing schedules, coordinating communications, organizing projects, and handling a wide range of administrative responsibilities that keep the organization running efficiently. This position will report to the President of the company.

The ideal candidate is detail-oriented, proactive, and resourceful, with excellent organizational and time management skills. They are collaborative team player who can also work independently, prioritize competing responsibilities, and maintain a high level of professionalism and confidentiality.

Key Responsibilities

· Screen phone calls, emails, and correspondence, responding or routing inquiries appropriately.

· Prepare meeting agendas, presentations, reports, and meeting minutes.

· Manage the executive’s calendar, appointments, meetings, and travel requirements.

· Coordinate internal and external meetings with clients, vendors, and business partners.

· Maintain confidential company records and sensitive information with discretion.

· Day-to-day update with staff regarding projects completion or update about projects.

· Support contract administration, document management, and filing systems.

· Ordering office supplies and keeping inventory of office supplies.

· Conduct research and prepare reports to support business decisions.

· Serve as a liaison between executives, employees, clients, and external stakeholders.

· Perform other administrative duties as assigned.

Qualifications & Requirements

· 3+ Years of any administrative assistant or office manager experience

· Associate degree or bachelor’s degree preferred.

· Excellent written and verbal communication skills.

· High level of professionalism and discretion with confidential information.

· Ability to prioritize multiple tasks and meet deadlines.

· Strong problem-solving skills and attention to detail.

· Microsoft Office Suite

Preferred Qualifications

· Marketing & business development experience is a plus.

· Knowledge of CRM software is a plus.

· Knowledge of Power BI or Tableau is a plus.

Additional Requirements

· This is an on-site position requiring attendance (5) days per week. Hybrid schedule may be offered to highly qualified candidates.

· Must be legally authorized to work in the United States.

Pay: $28.00 - $32.00 per hour
