Full Job Description

ABOUT THE ROLE

Monument Metals is a fast-growing national precious metals dealer, serving investors and collectors across the U.S. through our e-commerce and retail business. This role sits at the center of our purchasing and supply chain operations. You'll work directly alongside the President, owning the day-to-day execution of vendor communication, purchase order management, inventory monitoring, and cross-department coordination.

WHAT YOU'LL DO

Purchasing & Vendor Management

Create, update, and track purchase orders from issuance through delivery
Communicate directly with suppliers regarding pricing, availability, lead times, and shipment status
Request and compare quotes; assist with pricing and contract review
Follow up on open orders, backorders, and delayed shipments to resolution
Maintain vendor records, account information, and supplier documentation
Research new suppliers, products, and market pricing as directed

Inventory & Logistics Coordination

Monitor inventory levels and proactively identify items needing replenishment
Track incoming shipments and communicate ETA updates to internal teams
Coordinate with inventory, shipping, and customer service teams on order flow
Assist with special orders, product swaps, and custom order management
Monitor preorders and flag delayed or at-risk inventory before it becomes a problem

Operations & Reporting

Maintain accurate records within ERP, inventory, and purchasing systems
Prepare purchasing reports, spreadsheets, and operational analyses for management review
Track action items, open projects, and deadlines on behalf of the President
Identify operational issues and escalate them proactively
Support process improvement initiatives and help implement more efficient workflows
Coordinate across purchasing, accounting, shipping, and customer service departments
Draft professional emails, supplier correspondence, and internal communications
Leverage AI tools and business software to improve productivity and streamline tasks
Assist with special projects and some day-to-day administrative tasks as business needs arise

WHAT WE'RE LOOKING FOR

Required

3+ years of experience in operations coordination, purchasing support, inventory administration, project coordination, or related operational roles
Strong organizational and follow-up skills
Excellent written and verbal communication, especially in a vendor-facing context
Ability to manage multiple priorities and deadlines without losing detail
Proficiency with Microsoft Excel and general business software systems
Proactive, problem-solving mindset
Comfortable working cross-functionally and communicating with external vendors

Preferred

Experience in purchasing, procurement, inventory management, or supply chain operations
Familiarity with ERP systems - Fishbowl experience is a plus; NetSuite, SAP, or similar also valued
Background in e-commerce, distribution, manufacturing, or a fast-paced operations environment
Strong reporting and data organization skills
