Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with comprehensive administrative support, ensuring smooth daily operations and accurate financial management. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ready to contribute to a professional and efficient office environment. Your proactive approach will help streamline processes, support client interactions, and maintain precise financial records, all while fostering a welcoming atmosphere for visitors and team members alike.

Duties

Manage accounts receivable and payable using QuickBooks or similar accounting software, ensuring timely invoicing and payments
Perform data entry tasks with accuracy, including maintaining detailed spreadsheets and financial records
Handle multi-line phone systems with professionalism, providing exceptional customer service and directing calls efficiently
Support office management duties such as filing, organizing documents, and maintaining office supplies inventory
Assist with calendar management and scheduling appointments for team members or clients
Greet visitors at the front desk, providing courteous reception and answering inquiries via phone or email
Proofread correspondence, reports, and documents to ensure clarity, accuracy, and professionalism
Coordinate with clients and vendors through effective communication channels to facilitate smooth operations

Skills

Proficiency in QuickBooks accounting software for bookkeeping tasks
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and productivity software
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Experience in office management, including filing systems, data entry, and clerical support
Exceptional customer service skills with professional phone etiquette and client communication abilities
Bilingual capabilities are a plus for supporting diverse client needs
Adept at handling multi-line phone systems and managing front desk responsibilities
High level of accuracy in typing, proofreading, and document preparation
Strong time management skills to meet deadlines consistently
Personal assistant experience or background in administrative support is highly desirable
