Classification: Non-Exempt

Compensation: $55,000 annually

Location: Southern California; Los Angeles County preferred

Work Arrangement: Primarily remote; approximately 80% remote / 20% on college campuses

Travel: Occasional local travel

Schedule Flexibility: Periodic evening and weekend availability based on program and event schedules

Position Summary

The Program Coordinator is responsible for coordinating the day-to-day operations and successful execution of assigned DYDLI leadership development programs and participant engagement activities. The role supports up to two active educational or leadership programs annually and helps ensure that timelines, communications, logistics, materials, participant support, and program systems remain organized and on track.

Working under the direction of the Managing Director, the Program Coordinator takes ownership of assigned workflows and deliverables, follows through on operational details, resolves routine coordination issues, and promptly escalates matters that require leadership direction or approval.

The role works closely with participants, faculty, facilitators, vendors, community partners, and internal leadership to provide a professional, consistent, and high-quality program experience.

Program activity varies seasonally. During lower-volume program periods, the Program Coordinator may support alumni engagement, event preparation, outreach, operational documentation, reporting, and other Institute initiatives, including the Annual Gala.

Key Responsibilities

1. Program coordination

Coordinate assigned programs from participant onboarding through program completion, ensuring required tasks, deadlines, communications, and materials are completed on time.
Maintain program timelines, implementation checklists, calendars, delivery schedules, and follow-up systems.
Track multiple operational priorities and proactively identify missing information, upcoming deadlines, or issues that could affect program delivery.
Resolve routine operational matters within the scope of the role and escalate decisions, risks, or concerns requiring Managing Director involvement.

2. Participant Engagement & Communication

Coordinate participant communications, onboarding, scheduling, reminders, attendance follow-up, and ongoing program support.
Support participant outreach, enrollment, and scholarship-related participation efforts as assigned.
Respond to participant questions and concerns professionally, accurately, and in a timely manner, escalating sensitive or non-routine matters when appropriate.
Support alumni engagement and community-building activities during program and non-program periods.

3. Program Logistics & Live Delivery

Coordinate logistics for virtual and in-person programs, including scheduling, materials, room and technology readiness, faculty/facilitator coordination, vendor communication, and participant information.
Serve as the primary coordination point during assigned live program activities to help ensure schedules, materials, communications, and operational details run smoothly.
Prepare and organize program materials, participant resources, attendance records, and other delivery-related documentation.
Support logistics and preparation for major Institute initiatives and events, including the Annual Gala, as assigned.

4. Operational Systems & Documentation

Maintain accurate and organized program records, participant information, calendars, trackers, reporting files, and operational documentation.
Keep assigned systems and documents current so program information can be easily accessed and work can continue without unnecessary disruption.
Identify practical improvements to recurring workflows, templates, communication processes, and tracking systems, and recommend changes to the Managing Director.
Use modern workplace technologies and AI-enabled tools responsibly to improve scheduling, communication, reporting, documentation, and workflow efficiency while protecting confidentiality and quality.

5. Program Tracking, Evaluation & Reporting

Collect and organize participant feedback, attendance information, engagement data, and other program metrics required for evaluation and reporting.
Track program status, open items, deadlines, participant concerns, and implementation progress, and provide timely updates to the Managing Director.
Identify recurring operational issues or participant experience concerns and bring forward recommendations for improvement.
Support preparation of program summaries, status updates, and post-program documentation as assigned.

6. Professionalism & Organizational Support

Represent DYDLI professionally in interactions with participants, faculty, facilitators, vendors, community partners, and institutional stakeholders.
Exercise sound judgment, discretion, confidentiality, accountability, and reliable follow-through in all assigned responsibilities.
Adapt to changing program and organizational priorities while maintaining clear communication and organized execution.
Contribute to a collaborative, solutions-oriented team culture and support the Institute's mission through high-quality, participant-centered service.

Qualifications :

Bachelor's degree preferred.
Minimum of 2-4 years of experience in program coordination, educational programming, higher education, leadership development, event operations, community-based programming, or a related field.
Experience supporting multi-step programs, cohorts, participant-facing initiatives, or events with multiple deadlines and stakeholders.
Strong organizational, coordination, time-management, and follow-through skills.
Ability to manage competing priorities, maintain accurate details, and meet deadlines in a fast-paced and evolving work environment.
Proactive, resourceful, solutions-oriented, and comfortable taking ownership of assigned work while knowing when to escalate matters.
Excellent written, verbal, and interpersonal communication skills.
Strong problem-solving skills and attention to detail.
Ability to work independently in a remote environment while collaborating effectively with leadership and external stakeholders.
Proficiency with Zoom, virtual delivery platforms, Microsoft or Google workplace tools, and other modern digital systems.
Comfort using Al-enabled tools responsibly to support workflow efficiency, communication, documentation, and reporting.
Experience in higher education, community colleges, leadership development, mission-driven organizations, coaching organizations, or women-centered initiatives preferred.
Southern California residency required; Los Angeles County preferred.
Ability to travel locally and work occasional evenings or weekends based on program and event schedules.

Compensation & Benefits

Pay: $55,000 per year

After 90 days:

Accrue 5 days of vacation per year.
Designated paid company holidays

Work Location: Hybrid remote in Southern California; Los Angeles County preferred, with periodic work on college campuses and at program or organizational events throughout Southern California.
