Job Summary: Local Union Front Desk/Office Administrator

The Front Desk Receptionist provides administrative support to the Local Union by serving as the primary contact for telephone and in-person inquiries. Key responsibilities include greeting members, directing visitors, assisting with membership records, distributing correspondence.

Key Responsibilities & Duties

Member Services & Reception: Greet members, retirees, and guests warmly; direct them to the appropriate staff or trust representative.
Telephone Operations: Operate a multi-line phone system, answering, screening, and forwarding calls efficiently while taking accurate messages.
Administrative Support: Perform general clerical duties, including data entry, filing, photocopying, scanning, and faxing.
Correspondence & Mail: Receive, sort, and distribute daily mail/deliveries; process return mail.
Information Distribution: Provide basic information regarding union meetings, events, and member services.
Office Maintenance: Keep the reception area clean and organized; maintain inventory of office supplies and restock as needed.
Special Projects: Assist with union-specific tasks such as preparing for board meetings, organizing member records, or assisting with mail-outs for nominations/elections.

Required Skills & Qualifications

Experience: 1–3 years of receptionist or administrative experience, preferably in a fast-paced office environment.
Communication: Excellent verbal and written communication skills.
Technology: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment (printers, scanners).
Interpersonal Skills: Ability to interact with a diverse membership, including active, retired, and, at times, frustrated members, with patience and professionalism.
Confidentiality: Strict adherence to confidentiality regarding member issues and sensitive union data.
Education: High school diploma or equivalent.

Preferred Qualifications

Union Knowledge: Familiarity with trade union values, principles, and structures.
Data Management: Experience with database entry or union management software.

Working Conditions

Environment: Professional office environment, often requiring sitting for extended periods and occasional lifting of office supplies (up to 25–50 lbs.).
Hours: Generally, Monday through Friday, standard business hours (8am-5pm), but may require working the second Wednesday of each month (8:30am-5:30pm)
