Position Summary
The Resident Events & Leasing Coordinator is responsible for creating a welcoming, engaging community experience while supporting the property’s leasing and resident-service goals. This position plans and executes resident events, assists current residents with questions and service needs, conducts property tours, follows up with prospective residents, and helps convert qualified leads into signed leases.
The ideal candidate is outgoing, organized, service-oriented, and comfortable balancing event coordination, resident relations, sales, and administrative responsibilities. This role requires strong communication skills, a professional appearance, attention to detail, and the ability to build positive relationships with residents, prospects, vendors, and team members.
Key ResponsibilitiesResident Events and Community Engagement
- Develop and maintain a monthly resident-event calendar that supports resident satisfaction, retention, and community engagement.
- Plan and coordinate resident events such as social gatherings, holiday celebrations, wellness activities, food events, resident appreciation programs, and community partnerships.
- Manage event logistics, including scheduling, invitations, marketing materials, supplies, vendors, setup, attendance tracking, and cleanup.
- Promote events through email, text messaging, social media, resident portals, flyers, signage, and direct resident outreach.
- Build relationships with local businesses and vendors to secure event partnerships, sponsorships, discounts, and giveaways.
- Track event attendance, resident feedback, costs, and overall effectiveness.
- Take photos and create approved content from events for property marketing and social media purposes.
- Ensure events remain within the approved budget and comply with property policies, safety requirements, and Fair Housing standards.
Leasing and Lead Follow-Up
- Respond promptly and professionally to phone, email, internet, text, and walk-in inquiries.
- Contact new leads, follow up with existing prospects, and maintain consistent communication throughout the leasing process.
- Qualify prospective residents based on their stated housing needs and the property’s approved rental criteria.
- Schedule and conduct property tours, including model units, available apartments, amenities, and common areas.
- Present the property’s features, benefits, pricing, availability, policies, and current leasing offers accurately and consistently.
- Maintain detailed prospect notes, follow-up activities, appointments, and communication records in the property’s leasing or CRM system.
- Assist prospects with rental applications and provide information regarding required documentation and next steps.
- Follow up after tours and applications to help convert qualified prospects into residents.
- Support weekly leasing, occupancy, traffic, and lead-conversion goals.
- Assist with outreach marketing, local business visits, employer partnerships, locator relationships, and community awareness efforts.
- Maintain current knowledge of available units, floor plans, pricing, concessions, amenities, and upcoming move-in dates.
- Conduct all leasing activities in accordance with Fair Housing laws and company policies.
Resident Relations and Tenant Assistance
- Greet residents, prospects, vendors, and guests in a friendly and professional manner.
- Assist residents with general questions, account inquiries, amenity reservations, packages, documentation, and community information.
- Receive resident concerns and service requests, document them accurately, and route them to the appropriate team member.
- Follow up with residents when appropriate to confirm that questions or concerns have been addressed.
- Assist with resident communications, notices, surveys, renewal outreach, and community announcements.
- Help coordinate move-in preparation, welcome materials, key distribution, orientation, and move-in appointments.
- Support resident-retention efforts by building relationships and identifying opportunities to improve the resident experience.
- Maintain professionalism and discretion when handling confidential resident and prospect information.
- Escalate sensitive, legal, financial, or operational matters to the Property Manager.
Marketing and Administrative Support
- Assist with creating and distributing property marketing materials, event promotions, social media content, and community announcements.
- Help ensure model units, tour routes, leasing areas, amenity spaces, and event areas are clean, organized, and presentation-ready.
- Review online listings and marketing information for accuracy and report needed updates.
- Maintain event calendars, prospect records, guest cards, traffic reports, vendor information, and leasing documentation.
- Assist with general office duties, including answering phones, responding to messages, preparing correspondence, filing, scanning, and maintaining supplies.
- Participate in property meetings, leasing meetings, training sessions, and community inspections.
- Support the Property Manager and leasing team with additional responsibilities as needed.

Qualifications
- High school diploma or equivalent required.
- One or more years of experience in multifamily housing, leasing, hospitality, event planning, customer service, sales, or a related field preferred.
- Previous experience conducting sales presentations or property tours is preferred.
- Strong customer-service and relationship-building skills.
- Excellent verbal and written communication skills.
- Comfortable making outbound calls, sending follow-up messages, and communicating with prospective residents.
- Strong organizational skills and the ability to manage multiple priorities and deadlines.
- Proficiency with email, Microsoft Office or Google Workspace, and basic social media platforms.
- Experience with property-management software or leasing CRM systems is preferred.
- Ability to work independently while contributing positively to a team.

- Valid driver’s license and reliable transportation may be required for outreach marketing and event-related errands.

- Ability to set up tables, chairs, decorations, signs, and other event materials.
- Ability to work indoors and outdoors in varying weather conditions.
