Full Job Description

Practice Coordinator – Patient Intake and Scheduling

Elevate Mental Health Clinic is a growing outpatient mental health practice seeking a dependable and personable Practice Coordinator to support patient scheduling, intake, insurance verification, billing, and day-to-day administrative operations.

This is a highly phone-focused position. The Practice Coordinator is often the first person a prospective patient speaks with, so a warm, confident, and professional phone presence is essential. The right candidate will communicate clearly, remain calm when handling sensitive situations, and help patients feel comfortable from their first interaction with the clinic.

This is a full-time, in-office position at our Georgetown location.

Primary Responsibilities

Answer inbound calls from prospective and existing patients
Conduct initial intake conversations and collect required patient information
Schedule new-patient evaluations and follow-up appointments
Respond to patient questions and coordinate communication with providers
Verify insurance eligibility and benefits
Work with insurance portals, electronic health record systems, and scheduling software
Assist with insurance claims, billing follow-up, collections, and payment processing
Maintain accurate patient records and administrative documentation
Communicate professionally with patients, providers, pharmacies, and insurance companies
Help manage the clinic’s day-to-day administrative operations
Identify unresolved issues and follow through until they are addressed
Perform additional administrative duties as the practice grows

What We Are Looking For

The ideal candidate will have:

An excellent phone presence that is friendly, calm, confident, and professional
Strong verbal and written communication skills
Good listening skills and attention to detail
The ability to show patience and empathy when speaking with patients
Strong organizational and follow-through skills
The ability to manage multiple responsibilities without losing accuracy
Comfort working independently in a small-practice environment
Basic proficiency with computers, web-based systems, and office software
A willingness to learn new medical, scheduling, insurance, and billing systems
Dependable attendance and reliable transportation to the Georgetown office

Experience working in a medical office, mental health practice, pharmacy, or other healthcare setting is required. Candidates should have prior exposure to healthcare workflows, patient interaction, or administrative processes within a medical environment. Experience with insurance verification, claims, medical billing, or electronic health record systems is strongly preferred.

Position: Practice Coordinator
Employment type: Full-time, hourly, non-exempt
Hours: Approximately 40 hours per week
Practice hours: Monday through Friday, 8:00 a.m. to 5:00 p.m.

Compensation and Benefits

Compensation is competitive and based on experience, skill level, and demonstrated ability
Opportunities for compensation growth as additional responsibilities are assumed and proficiency is demonstrated
Weekly direct-deposit payroll
7.5 days of paid time off annually during the first two years of employment
15 days of paid time off annually beginning in the third year
