Executive Assistant to a Director

Vaden Management Enterprises LLC, a leading name in the automotive industry, is seeking a highly organized, proactive, and professional Executive Assistant to support one of our Directors. The Vaden family has proudly owned and operated 14 dealerships across the coastal regions of Georgia and South Carolina for over 55 years. Our business also includes a rental car division and a parts distribution network, and we've built lasting relationships with thousands of customers while giving back to the communities we serve.

Key Responsibilities

Manage and coordinate a complex executive calendar, meetings, and travel arrangements
Prepare professional reports, presentations, correspondence, and meeting materials
Organize agendas, take meeting notes, and follow up on action items to ensure timely completion
Serve as a liaison between the Director and internal departments, vendors, and external partners
Prioritize competing requests while maintaining exceptional attention to detail
Maintain confidential information with the highest level of professionalism and discretion
Track projects, deadlines, and deliverables to keep priorities organized and on schedule
Assist with planning meetings, events, and executive travel as needed
Support administrative initiatives and collaborate with cross-functional teams

Ideal Candidate Qualifications

Previous experience supporting a Director, Vice President, or other senior-level executive
Exceptional organizational and multitasking abilities
Strong written and verbal communication skills
High attention to detail and ability to meet deadlines in a fast-paced environment
Excellent time management and problem-solving skills
Self-motivated with the ability to anticipate needs and work independently
Professional demeanor with a high level of discretion and confidentiality
Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint
Flexibility and adaptability in a dynamic business environment
