Full Job Description

Job Overview

We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in supporting daily office operations, ensuring that administrative tasks are completed efficiently and effectively. This position requires strong communication skills, a proactive attitude, and the ability to work collaboratively in a fast-paced environment.

GENERAL ACCOUNTING

Maintain general ledger accounting records, prepare and review monthly financials and report results to Assistant Controller and Controller for review and consolidation.
Responsible for weekly cash reconciliations and reporting process, ensuring the integrity of accounts and the organizations financial integrity.
Responsible for all accounts payables, journal entries, accruals, reconciliations, variance analysis and financials for the entities assigned, plus allocation of consolidated invoices and journal entries.
Ensure journal entries and account payable postings are coded to the accurate GL account and any intercompany balances zero
Responsible for ensuring operational items are renewed and paid on time including environmental and business licenses, sign contracts, insurance, lease renewals, etc.
Work toward goals set by Assistant Controller on accounting related functions and any other development goals as needed.
Assist in gathering schedules for the outside accounting firm for year end audit and tax planning or as required.
Allocation to the appropriate GL account for all monthly credit card transactions on company and owner credit cards.
Analyze the business processes for more efficient ways and review financials monthly to determine potential cost-savings.

Duties

Perform general office duties such as filing, data entry, and maintaining organized records.
Manage incoming calls and correspondence, providing excellent customer service to clients and visitors.
Assist with scheduling appointments and coordinating meetings for staff members.
Support the office management team with various administrative tasks as needed.
Utilize software applications, including QuickBooks, for invoicing and financial record-keeping.
Maintain office supplies inventory and place orders when necessary.
Ensure the office environment is clean, organized, and welcoming for clients and employees.

Skills

Bilingual proficiency is a plus, enhancing communication with diverse clientele.
Strong data entry skills with attention to detail for accurate record management.
Proficient typing skills to handle correspondence and documentation efficiently.
Computer literacy with experience in Microsoft Office Suite and QuickBooks preferred.
Previous experience as receptionist or in an administrative role is advantageous.
Excellent organizational skills to manage multiple tasks effectively.
Strong interpersonal skills to foster positive relationships within the team and with clients.
