General Purpose
The Human Resources Generalist is responsible for the daily administration of Human Resources, Payroll, Benefits Administration, Purchasing, Office Administration, and Employee Access Management for the Club. This position serves as the primary resource for employees regarding payroll, benefits, company policies, and employment matters while ensuring compliance with all federal, state, and local employment regulations. The HR Generalist provides administrative support to the General Manager and department managers while maintaining the highest level of confidentiality and professionalism.
Essential Duties and Responsibilities
Human Resources Administration
- Coordinate all aspects of the employee lifecycle including recruiting support, onboarding, orientation, employment status changes, promotions, transfers, leaves of absence, and terminations.
- Prepare employment-related documents including offer letters, personnel action forms, employment verifications, disciplinary documentation, and separation paperwork.
- Maintain complete and confidential employee personnel files in accordance with legal and company requirements.
- Ensure completion of all new hire documentation including Form I-9, tax forms, policy acknowledgments, and required employment paperwork.
- Maintain employee information within the Human Resources Information System (HRIS).
Payroll Administration
- Process semi-monthly payroll accurately and on schedule through the payroll provider.
- Review, audit, and reconcile employee timecards and department timesheets prior to payroll processing.
- Work closely with department managers to resolve missing punches, payroll discrepancies, overtime issues, and timekeeping errors.
- Process and verify all employee compensation including:
- Regular wages
- Overtime
- Paid Time Off (PTO)
- Holiday pay
- Golf lesson compensation
- Employee gratuities (tips)
- Service fee distributions
- Bonuses and other supplemental earnings
- Calculate, verify, and reconcile tip reporting and service fee distributions in accordance with company policy and applicable labor laws.
- Verify golf lesson payroll and instructor compensation for accuracy.
- Process payroll adjustments, manual checks, final paychecks, garnishments, deductions, and payroll corrections.
- Maintain payroll records and prepare payroll reports for management.
- Upload payroll information to the workers' compensation carrier for reporting and annual payroll audits.
- Maintain confidentiality of all payroll and compensation information.
Benefits Administration
- Administer employee benefit programs including Medical, Dental, Vision, Life Insurance, and 401(k).
- Coordinate benefit eligibility and enroll newly eligible employees.
- Manage the annual Open Enrollment process including employee communication, enrollment meetings, benefit elections, and enrollment changes with the insurance brokers.
- Process qualifying life events, benefit changes, COBRA notifications, and employee benefit terminations.
- Assist employees with benefit questions and resolve issues with benefit providers.
- Audit benefit invoices and reconcile billing discrepancies with insurance carriers through the insurance brokers.
Timekeeping Administration
- Monitor employee attendance and timekeeping records.
- Ensure department managers approve employee timesheets by payroll deadlines.
- Train employees and supervisors in proper timekeeping procedures.
- Maintain attendance and leave records.
Employee Relations
- Respond to employee questions regarding payroll, benefits, PTO, company policies, and employment practices.
- Assist managers with employee relations issues while maintaining confidentiality.
- Support employee recognition, engagement, and communication initiatives.
Compliance and Safety
- Ensure compliance with federal, state, and local employment laws and California wage and hour regulations.
- Maintain required labor law postings and employment records.
- Coordinate OSHA compliance, safety training, and required documentation.
- Process unemployment claims and respond to Employment Development Department (EDD) requests.
- Maintain workers' compensation files and coordinate employee claims, return-to-work documentation, and communication with insurance carriers.
Security and Employee Access
- Set up new employees in the Club's security and access control system.
- Issue employee access cards, keys, and security credentials.
- Maintain employee access records.
- Deactivate access cards and security credentials upon employee separation.
Purchasing and Office Administration
- Coordinate office supply purchasing for all departments.
- Prepare and place approved orders with vendors.
- Monitor inventory of office supplies and administrative materials.
- Reconcile vendor invoices with the company American Express statements.
- Resolve invoice discrepancies and ensure proper documentation and coding of purchases.
Policy Administration
- Assist with the development, implementation, and revision of company policies and procedures.
- Participate in updates to the Employee Handbook.
- Ensure consistent application of company policies throughout the organization.
Special Projects
- Research HR best practices and operational improvements.
- Assist with budgeting and annual HR planning.
- Complete special assignments and projects as directed by the General Manager.
- Perform other duties as assigned to support Club operations.
Qualifications
Education
- High School Diploma required.
- Associate's degree in Human Resources, Business Administration, Accounting, or related field preferred.
Experience
- Minimum of 3–5 years of progressively responsible experience in Human Resources, Payroll, Office Administration, or a related field.
- Experience processing payroll and administering employee benefits required.
- Experience with HRIS and payroll software preferred.
Knowledge, Skills, and Abilities
- Knowledge of California wage and hour laws and payroll practices.
- Working knowledge of employee benefits administration.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while meeting deadlines.
- Strong attention to detail and accuracy.
- Ability to maintain strict confidentiality.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and HRIS/payroll systems.
- Excellent customer service and interpersonal skills.
- Bi-lingual preferred.
Physical Requirements
While performing the duties of this position, the employee is regularly required to sit, stand, walk, bend, reach, use hands to operate office. The employee may occasionally lift and carry up to 25 pounds. Specific vision abilities include close vision, distance vision, and the ability to adjust focus.
Work Environment
This position is primarily performed in an office environment with regular interaction throughout the clubhouse and golf course facilities. The HR Generalist may occasionally work outdoors while supporting Club operations, employee events, and safety initiatives.
Flexibility to work occasional evenings, weekends, or holidays may be required based on business needs.
